Job summary

Public Outreach is seeking a Payroll Officer to ensure accurate, timely payroll across Canada and the United States. This remote role supports frontline staff and business services teams, upholding strong payroll practices and compliance.

You’ll collaborate with US and Canadian teams, manage ADP Workforce Now, and drive process improvements as the organization grows. A detail‑oriented, systems‑minded professional will help scale our multi‑state payroll operations.

Qualifications

  • Experience with ADP Workforce Now strongly preferred.
  • Experience with Google Workspace tools.
  • Familiarity with multi-state payroll or U.S. employment legislation a benefit.

Payroll Officer

Location: Remote in Canada Position Type: Full-time, Permanent Reports To: Payroll & Benefits Manager Salary: $60,000-$70,000

About the Role

As our Payroll Officer, you’ll help ensure our staff are supported through accurate, timely payroll, strong payroll practices, and compliance across Canada and the United States. Your work will be especially important as our U.S. operations continue to expand in 2026 and beyond.

You’ll work closely with both our U.S. and Canadian teams as a multifaceted resource, helping bring consistency, clarity, and best practices to a growing, multi-state workforce.

This is an ideal role for someone interested in providing direct support to frontline staff and business services teams as a subject matter expert. We are looking to support growth with a detail-oriented, systems-minded individual who is motivated by supporting teams doing meaningful work.

What You’ll Do

Payroll Operations (65%)

Act as a trusted day-to-day point of contact for staff and managers across the US and Canada, responding with clarity and accuracy

Lead follow-up on cases which require significant investigation or collaboration to resolve

Alongside the rest of the team, process and support weekly payroll runs

Manage SmartCompliance and tax reporting within ADP Workforce Now

Support required federal and state/provincial reporting as required

Support post-payroll processes

Process Improvement & Scaling (20%)

Help shape and refine payroll policy and process to support a growing workforce

Identify opportunities to improve systems, workflows, and documentation

Conduct periodic audits to ensure accuracy and compliance

Compliance & Mandatory Reporting Support (10%)

Collaborate with internal teams to ensure we meet multi-state obligations

Support completion of mandatory reporting requirements as directed

Support state registrations and ongoing compliance requirements in the US as required

Cross-Functional Support (5%)

Collaborate with Payroll, HR, Admin, and Finance teams as needed

Contribute to projects that strengthen operational consistency across North America
