Overview
We are seeking a detail-oriented and knowledgeable Payroll Manager to oversee and manage our Canadian and US payroll processes. This role is crucial in ensuring accurate and timely employee payments, maintaining compliance with relevant regulations, and coordinating pension, benefits, and 401k programs. The successful candidate will work closely with outsourced payroll providers and ensure payroll data integrity through oversight, reconciliation, and communication.
Key Responsibilities
- Manage full oversight of the Canadian payroll process, including provinces such as Quebec and Ontario, working closely with outsourced providers for timely and accurate payroll processing.
- Coordinate US payroll activities, ensuring compliance with US benefits, including 401k plans.
- Validate and confirm payroll amounts to authorize payments, maintaining meticulous attention to detail.
- Oversee pension and benefits coordination for Canadian employees and 401k management for US employees, ensuring accuracy and regulatory compliance.
- Perform journal entries and postings related to payroll, ensuring accuracy in financial records.
- Conduct monthly balance sheet reconciliations related to payroll accounts for accuracy and completeness.
- Develop and maintain payroll documentation, ensuring compliance with federal, provincial/state, and local laws in both countries.
- Act as the primary contact for payroll inquiries, providing support to employees and management.
- Collaborate with HR and Finance to resolve payroll issues and improve processes.
- Monitor changes in payroll regulations or compliance requirements and implement necessary adjustments.
- Prepare reports and analyze payroll trends, discrepancies, and projections for management.
Qualifications
- Proven experience in payroll management, especially with Canadian and US payroll processes.
- Strong knowledge of Quebec and Ontario payroll regulations, US payroll practices, including 401k plans.
- Proficiency with payroll software and experience with outsourced providers.
- Competency in journal postings and financial reconciliations.
- Excellent organizational skills and high attention to detail.
- Strong communication skills, both written and verbal.
- Knowledge of compliance requirements and ability to stay updated on payroll laws.
- Bachelor’s degree in Accounting, Finance, HR, or related field (preferred).
- Certified Payroll Professional (CPP) or similar certification (asset).
