Job summary

ALDO Group is seeking a Payroll Coordinator to manage end-to-end payroll for approximately 1,200 employees across Canada and the United States. The role integrates with Human Resources and Store Operations and requires meticulous data handling and customer service.

The incumbent will verify payroll results, update plans and wages, and participate in reporting and compliance tasks while maintaining confidentiality and accuracy in a dynamic retail environment.

Qualifications

  • DEC in administration or accounting or similar field is required.
  • Relevant payroll experience is preferred.
  • Strong Excel and MS Office skills are essential.

Responsibilities

  • Process the full payroll cycle for all employees in Canada and the U.S.
  • Verify payroll results and apply internal control processes.
  • Prepare unemployment insurance (UI) claims and payroll-related documents.
  • Onboard employee data for proper payroll execution across Canada and the U.S.
  • Answer employees' payroll questions with confidentiality and accuracy.

Overview

The Payroll Coordinator will be responsible for managing all aspects of payroll processing, including data entry, verification, control and reporting for approximately 1200 employees. They must ensure the proper application of established policies and procedures. Will work closely with Human Resources and Store Operations. Professional, versatile and dynamic, providing irreproachable customer service.

Strategic
MAJOR RESPONSIBILITIES
  • Brainstorm with the Payroll team to clarify and/or to improve procedures.
  • Special projects outlined in yearly objectives.
  • Work with the immediate supervisor to develop new strategies to increase the effectiveness of the work to be done.
  • Contribute to the continuous improvement of payroll processes and controls.
  • Assist in updating any information related to payroll (i.e. sick plans, minimum wages etc.).
Operational
  • Verify payroll results by applying internal control processes.
  • Performs the complete payroll cycle for all employees under their responsibility.
  • Terminations, missing hours, transfers, position changes, taxes and more
  • Calculate all components of employee separation compensation with precision, including accrued vacation, notice pay, and severance.
  • Handle urgent employee terminations with discretion and accuracy to ensure compliance and avoid financial penalties
  • Process and ensure accuracy of employee tax withholding elections for both Canada and the United States.
  • Ensure compliance with the payroll processes and with the various laws and obligations in force.
  • Participate in the production of Record of Employment statements and other payroll related documents.
  • Follow up with the store’s managers and/or district managers and/or store directors for all payroll related issues.
  • Act as an internal resource for payroll related information and answer employees' questions.
  • Verify and validate payroll related reports.
  • Ensure complete and accurate onboarding of employee data—including identity and payment details—for proper payroll execution across Canada and the U.S. (i.e. SIN/SSN, date of birth, address etc.)
  • Prepare and submit unemployment insurance (UI) claims via mail.
  • Handle requests from former employees regarding payroll records and tax forms, maintaining confidentiality and compliance
  • Carry out any other tasks or objectives at the request of the manager.
Leadership
  • Take responsibility for a group of stores, assist/guide/inform store managers, DSMs and/or Directors.
  • Self-assessment and preparation of annual objectives.
  • Conduct research on newly enacted laws and regulatory changes within Canada and United States.
Education / Experience
  • DEC in administration, accounting or any other similar field of study.
  • Payroll association title, an asset.
  • Possess relevant experience in the payroll field.
  • Advanced abilities to work with the Microsoft Office suite, more specifically with Excel.
  • Knowledge of SAP SuccessFactors software is an asset.
