Position Title: Payroll, Compliance and Benefits Administrator- CA
- Department: Finance/People
- Reports to: Sr. Payroll Manager
- Employment Type: Full-Time, Permanent
- Location: Based in GTA, with a minimum of 1 day/week in Mississauga office; this may change with remote work policies.
OBJECTIVE
The Payroll, Compliance, and Benefits Administrator- CA will handle payroll processing (60%), tax and benefit compliance (20%), and benefits administration (20%), providing excellent service to internal and external clients.
KEY RESPONSIBILITIES & ACCOUNTABILITIES
Payroll Processing
- Process bi-weekly payroll for approximately 400 employees, including salaried and hourly staff.
- Enter new employee data, including onboarding documentation.
- Calculate statutory and holiday pay accurately.
- Ensure compliance and efficiency across payroll systems.
- Perform audits, review reports, and correct discrepancies.
- Develop and update payroll procedures in line with policies and regulations.
- Maintain accurate employee records in collaboration with HR and Business leaders.
- Coordinate with finance for payroll-related financial reporting.
- Perform additional related tasks as needed.
Tax and Benefit Compliance
- File and audit taxes and benefits such as WSIB, RRSP, EHT, and EI.
- Ensure adherence to payroll laws and regulations, including deductions and remittances.
- Distribute pay statements, T4s, and other reports.
- Assist in developing internal controls for tax and benefits.
- Manage annual compensation updates and monitor visa expiry dates.
- Update PTO accruals, wage changes, and manage employee terminations in payroll systems.
- Handle reports to Worker’s Compensation and other regulatory bodies.
- Support employees with payroll inquiries.
- Maintain payroll systems compliance and updates.
Benefits Support
- Administer benefit plans, including RRSP & DPSP with Canada Life and Empire Life.
- Manage employee benefits enrollment, eligibility, and changes.
- Maintain documentation and support benefits-related audits.
Education and Experience
- College or university diploma.
- PCP certification with Canadian Payroll Association.
- 3-5 years’ payroll processing experience.
- Proficiency in MS Office, especially Excel and Word.
- Knowledge of payroll regulations and principles.
- Strong analytical skills and attention to detail.
Additional Skills
