Job summary

Hansen’s is seeking a Payroll and Benefits Clerk to join the Corporate Human Resources team in Toronto. The role handles payroll and benefits transactions, maintains employee records, and supports payroll administration across the organization.

Reporting to the National Payroll & Benefits Administrator, this position processes high volumes of confidential information with attention to detail and strict data integrity, while building strong relationships with employees and field teams.

Qualifications

  • University / College degree in relevant field.
  • Minimum of 2 years working experience in Payroll and HR Departments.
  • Working knowledge of Dayforce HCM preferred.
  • Working knowledge of Benefits Administration.
  • Working knowledge of WSIB / WCB / CNESST / EHT documentation & process.

Responsibilities

  • Coordinate with Hiring Managers to onboard new hires into Dayforce.
  • Initiate communications to New Hires and follow up on items like SIN, Driver’s License, Banking Info, work permits.
  • Create files and update documentation to ensure file retention compliance.
  • Process terminations and submit termination requests daily.
  • Serve as point of contact and respond to employee requests, escalate as needed.
  • Initiate Benefits Enrollment and processing for Group Health Benefits, RRSP, LTD.
  • Coordinate Benefits Changes, Terminations and file updates.
  • Maintain Benefits Portals data weekly and run reports.
  • Track incentive payments (Referral, 50/50 charity/ lottery, scholarships, service awards, events).
  • Provide weekly timesheets to Employment Agencies.
  • Maintain LOA/LTD/injury leave data in Dayforce.
  • Approve agency invoices and resolve gaps with managers.
  • Prepare monthly reconciliations for agency accruals.
  • Extract timesheets and verify hours for completeness.
  • Provide payroll support for Bi-Weekly payroll and act as backup during vacations.
  • Support monthly/quarterly/year-end payroll deadlines.
  • Assist with data analytics, payroll discrepancies, and audits.
  • Receive and log department mail and distribute.
  • Dispatch couriers to recipients.

Job description

The Payroll and Benefits Clerk is responsible for the accurate and timely processing of payroll and benefits transactions, maintaining employee records, and providing administrative support related to payroll and benefits administration. As a member of the Corporate Human Resources team, this role supports Hansen’s group of companies and contributes to the efficient delivery of payroll and employee services across the organization.

Reporting to the National Payroll & Benefits Administrator, the Payroll and Benefits Clerkprocesses a high volume of confidential and sensitive employee information, ensuring data integrity, compliance, and accuracy in all payroll-related processes. This position requires exceptional attention to detail, a high degree of reliability, and the ability to build and maintain strong working relationships with employees and field operations teams across the organization.

Job Duties

  • Coordinates with Hiring Managers/Supervisors to intake new hires, validate New Hire Checklist and onboard New Hires into Dayforce.
  • Initiate communications to New Hires and follow up with the employee on open items for close out such as: SIN, Driver’s License, Banking Information, Work Permits.
  • Create files and update accurate and timely documentation to ensure compliance with file retention.
  • Follow payroll procedures for terminated employees and submit termination requests for approvals daily.
  • Serve as a point of contact and respond timely to employees’ requests, elevate as necessary to resolve timely.
  • Initiate the Benefits Enrollment process: validate completion of forms and submit for processing, includes Group Health Benefits, RRSP and Long-Term Disability.
  • Coordinate Benefits Changes requests, Benefits Terminations and updates to files.
  • Maintain database and validate all updates in Benefits Portals on a weekly basis.
  • Maintain reports, update, and follow up on incentive payments related to Human Resources programs: Employee Referral Bonus Program, 50/50 Charity/Employee Lottery, Annual Scholarship Program, Employee Service Awards, Annual Holiday Events and others.
  • Provide Employment Agencies with Weekly Employee Time Sheets.
  • Maintain Leave of Absence (LOA, LTD and Injury Leave) tracking, notes and accurate data in Dayforce HCM.
  • Approve Agency Invoices for payments, resolve gaps with Managers/Supervisors.
  • Prepare Agency accrual Monthly Reconciliations.
  • Extract timesheets and review work hours for completeness and accuracy as required.
  • Provides ongoing Payroll support in preparation of Bi-Weekly Payroll and acts as Payroll backup during annual vacation leave.
  • Provides Monthly, Quarterly and Year-End Payroll Support to ensure successful completion of all deadlines.
  • Support with data analytics, resolving payroll discrepancies and audits.
  • Receive and log all incoming department mail and distribute accordingly.
  • Dispatch department couriers and notify receivers.

Required Skills/Abilities:

  • Proficiency in Microsoft Office (Teams, Outlook, Word, Excel and PowerPoint) and other relevant applications.
  • Excellent time management skills and ability to meet deadlines.

  • Ability to abide by Code of Ethics and Business Conduct, Confidentiality and maintain privacy of employee information.

Education and Experience:

  • University / College degree in relevant field.
