Job summary

ProSeal Service Group in Calgary, AB is seeking a Payroll Administrator to support accurate and timely payroll for a multi-provincial Canada-wide workforce. Position Summary

The Payroll Administrator is responsible for supporting the accurate and timely administration of payroll for a multi-provincial workforce across Canada. The role performs payroll processing, employee data maintenance, payroll audits, benefits administration support, and employee payroll inquiries while ensuring compliance with applicable legislation, company policies, and established payroll procedures.

The Payroll Administrator works closely with the Payroll Specialist and Payroll Manager to ensure payroll transactions are processed accurately and efficiently. This position provides an excellent development opportunity for individuals seeking to expand their payroll knowledge and progress toward more senior payroll positions.

Our office is located Downtown Calgary and requires you to work on-site.

Key Responsibilities
Payroll Processing
  • Assist with the preparation and processing of weekly and bi-weekly payrolls.
  • Enter and maintain employee payroll data including:
    • New hires
    • Terminations
    • Promotions
    • Transfers
    • Wage changes
    • Leave of absence information
  • Review payroll transactions for completeness and accuracy.
  • Process payroll adjustments, retroactive payments, corrections, and payroll exceptions.
  • Verify employee earnings, deductions, taxable benefits, and reimbursements.
  • Support payroll balancing and payroll submission activities.
  • Review and verify employee timecard data.
  • Investigate and resolve missing, incomplete, or inaccurate time submissions.
  • Assist employees and supervisors with timekeeping questions.
  • Monitor payroll deadlines and follow up on outstanding approvals.
  • Ensure attendance records are entered accurately and on time.
Time & Attendance Administration
  • Review and verify employee timecard data.
  • Investigate and resolve missing, incomplete, or inaccurate time submissions.
  • Assist employees and supervisors with timekeeping questions.
  • Monitor payroll deadlines and follow up on outstanding approvals.
  • Ensure attendance records are entered accurately and on time.
Employee Records Administration
  • Maintain employee payroll records and electronic personnel files.
  • Update employee personal information, banking details, tax forms, and payroll-related documents.
  • Ensure appropriate documentation is received and retained for payroll transactions.
  • Maintain confidentiality and security of payroll information.
Benefits Administration Support
  • Assist with employee benefit enrollments, changes, and terminations.
  • Process payroll deductions related to benefit plans.
  • Respond to routine employee inquiries regarding payroll deductions and benefits.
  • Support benefit audits and monthly reconciliations.
  • Maintain accurate employee benefit records.
Payroll Compliance Support
  • Assist in ensuring compliance with:
    • Income Tax Act requirements
    • Canada Pension Plan (CPP)
    • Employment Insurance (EI)
    • Provincial Employment Standards legislation
    • Workers' Compensation requirements
  • Prepare payroll documentation and reports as requested.
  • Support payroll audits and compliance reviews.
  • Assist with the preparation of Records of Employment (ROEs).
Employee Service & Support
  • Respond to employee payroll inquiries in a professional and timely manner.
  • Investigate payroll discrepancies and escale complex issues to the Payroll Specialist or Payroll Manager.
  • Provide employees with payroll-related information and guidance.
  • Support managers with payroll administration processes.
Reporting & Administration
  • Generate regular payroll reports.
  • Assist with payroll reconciliations and data verification.
  • Support year-end payroll activities including:
    • T4 preparation
    • Payroll audits
    • Employee communications
    • Data validation
  • Maintain payroll filing systems and documentation.
Continuous Improvement
  • Participate in payroll process improvement initiatives.
  • Maintain current knowledge of payroll legislation and company procedures.
  • Attend payroll training and professional development opportunities.
  • Support special projects assigned by the Payroll Manager or Payroll Specialist.
Qualifications
Education & Certifications
  • Payroll Compliance Practitioner (PCP) designation completed or in progress preferred.
  • Post-secondary education in Payroll, Accounting, Business Administration, Human Resources, or a related field considered an asset.
Experience
  • 2-4 years of payroll administration experience.
  • Experience processing Canadian payroll.
  • Experience working with payroll systems and HRIS platforms.
  • Experience supporting employee benefits administration considered an asset.
  • Experience in a multi-provincial environment is preferred.
Technical Skills
  • Working knowledge of ADP Workforce Now preferred.
  • Proficiency in Microsoft Office Suite.
  • Intermediate Microsoft Excel skills.
  • Familiarity with payroll legislation and statutory deductions.
  • Strong data entry and reconciliation skills.
