Job summary

Auto Electric Service Ltd. is seeking a Payroll Administrator to join our Regina team.

This position supports 180–200 employees across multiple locations, ensuring semi-monthly payroll accuracy, confidentiality, and timely processing under Canadian payroll rules. You will report to the Controller and collaborate with branch managers to uphold payroll procedures, compliance, and related reconciliations, including ROEs and year-end activities.

Qualifications

  • Post-secondary diploma or certificate in accounting, business administration, office administration, or related field.
  • Payroll knowledge of Canadian legislation including CPP, EI, and tax rules.
  • Experience with cloud-based payroll systems and 100+ employee payrolls in multi-location settings.

Responsibilities

  • Set up new employees with compensation, deductions, benefits, and pension enrolment.
  • Process terminations, final pay, and Records of Employment within deadlines.
  • Enter commissions and deductions manually per procedures.
  • Maintain group-benefit deductions and pension employer contributions.
  • Review payroll inputs for completeness and compliance before each pay run.
  • Process semi-monthly payroll using the cloud-based system on schedule.
  • Reconcile payroll registers and investigate discrepancies with the Controller.
  • Maintain payroll documentation and audit trails.
  • Organize confidential payroll files in physical and electronic formats.
  • Prepare payroll information for WCB reporting and reconciliations.
  • Respond to employee questions and escalate non-standard issues.
  • Assist with year-end activities and distribution of T4 slips.

Payroll Administrator

Auto Electric Service Ltd. is looking for an organized, detail-oriented Payroll Administrator to join our team. Supporting approximately 180-200 employees across multiple locations, this role is responsible for ensuring our semi-monthly payroll is processed accurately, confidentially, and on time. Reporting to the Controller, the Payroll Administrator manages the complete payroll cycle—from employee onboarding and payroll processing to benefits and pension deductions, reconciliations, Records of Employment, and employee file maintenance. This is a hands-on role for someone who is comfortable working with deadlines, confidential information, and detailed processes. You'll work closely with branch managers and employees across the company while ensuring payroll procedures, authorization requirements, and Canadian payroll legislation are followed.

Key Responsibilities
  • Set up new employees using authorized information, including compensation, tax deductions, direct-deposit details, benefit coverage, and pension enrolment
  • Process employee terminations, including final pay, outstanding deductions, vacation-related amounts, and Records of Employment within applicable deadlines
  • Enter commissions earnings and employee AR deductions manually in accordance with established procedures
  • Maintain employee group-benefit deductions, update them when premiums or employee coverage levels change, pension deductions and employer-contribution settings for eligible employees
  • Review payroll inputs for completeness, authorization, reasonableness, and compliance before processing each pay run
  • Process semi-monthly payroll accurately and on schedule using the company's cloud-based payroll system
  • Review and reconcile payroll registers, investigate discrepancies, obtain required corrections or approvals, and confirm payroll completion to the Controller
  • Maintain complete payroll documentation and a clear audit trail for additions, changes, deductions, and adjustments.
  • Organize and maintain confidential employee payroll files and records in both physical and electronic formats. P
  • Prepare payroll information required by the Controller for Saskatchewan Workers' Compensation Board reporting and other payroll-related reconciliations.
  • Respond to routine employee questions concerning pay statements, deductions, tax slips, and payroll-system access, escalating non-standard matters to the Controller
  • Assist with payroll year-end activities, including reviewing employee information and supporting the preparation and distribution of T4 slips
  • Perform other payroll administration and employee-recordkeeping duties reasonably assigned by the Controller or Vice President, Finance
Requirements
REQUIRED SKILLS AND COMPETENCIES
  • Strong attention to detail and the ability to enter and review payroll information accurately under fixed deadlines using established procedures and authorization controls consistently
  • Working proficiency with cloud-based payroll systems such as Payworks, ADP, Ceridian, or Dayforce
  • Sound knowledge of Canadian payroll fundamentals, including CPP, EI, income-tax deductions, taxable benefits, vacation pay, and Record of Employment requirements.
  • Intermediate Excel skills, including sorting, filtering, pivot tables, lookup functions, reconciliations, and summarizing exported payroll data.
  • Strong organizational and record-management skills, with the ability to maintain complete and readily retrievable payroll documentation
  • Sound judgment, discretion, and professionalism when handling confidential employee and compensation information.
  • Clear written and verbal communication skills, including the ability to confirm payroll information with branch managers and respond professionally to employee inquiries
  • Ability to identify unusual payroll results, investigate discrepancies, and escalation exceptions appropriately
EDUCATION AND CERTIFICATION
  • A post-secondary diploma or certificate in accounting, business administration, office administration, or a related field is required.
  • A Payroll Compliance Professional designation from the National Payroll Institute, or progress toward the designation, is considered an asset
Experience
  • A minimum of three years of hands‑on Canadian payroll-processing experience is required
  • Experience processing payroll for at least 100 employees in a multi‑location environment is strongly preferred
  • Experience administering a combination of hourly, salaried, and commission‑based compensation is strongly preferred
  • Experience using modern cloud‑based payroll systems is required
  • Experience in the automotive aftermarket, distribution, or retail sector is considered an asset
