docbraces Cranbrook has an exciting full-time opportunity! We are looking for a talented Patient Service Coordinator to join our team. Canadian Orthodontic Partners provides support services to docbraces Cranbrook and our national network of community-based clinics in delivering personalized orthodontic treatment. Key Responsibilities:
- Greet every patient with kindness, enthusiasm, and genuine interest to ensure they feel welcomed.
- Communicate with patients and guardians regarding appointments, treatment, and office policies.
- Answer all incoming calls, taking detailed notes of important conversations.
- Check voice messages, emails, mail, and team chats regularly.
- Complete ‘New Patient Phone Slips’ for new consultation bookings.
- Gather insurance information and complete insurance checklists.
- Book and organize patient appointments.
- Scan all information into patient charts.
- Use external software or calls to confirm appointments.
- Act as a liaison between the doctor and patients, as well as other dental professionals.
- Compose and send communication letters and documents as required.
- Enter initial contracts for patients.
- Collect and process payments, manage recurring payments, post day sheets, and prepare daily deposits.
- Close the day by emailing documents to the Accounting lead.
- Print practice reports and no-show reports, reschedule appointments as needed.
- Work with the Office Manager to resolve scheduling issues.
- Maintain the tidiness of the patient lounge and coffee station, and advise on stock needs.
- Implement and promote practice marketing initiatives.
- Collaborate with team members to foster a respectful and cooperative environment.
- Complete monthly call lists, tracking sheets, and checklists.
- Perform other tasks as delegated by the Office Manager.
Requirements:
- Dental office experience is an asset.
- Customer service experience is required.
- Proficiency in Microsoft Office Suite and Google Suite, with the ability to learn new programs.
- Excellent interpersonal and communication skills, both written and verbal.
- Strong time management and organizational skills.
