Job summary

MK Auto Group is seeking a Parts Coordinator to improve store efficiency by receiving, verifying, and delivering parts to technicians as needed. The role requires strong organization and meticulous documentation to minimize losses, and the ability to read estimates to ensure parts align with orders.

You will participate in daily production and release meetings to provide key information to managerial staff, coordinating with production and management.

Qualifications

• Valid status in Canada and can work for any employer without sponsorship.
• Highly organized with ability to manage multiple concurrent tasks.
• Proficient in MS Office and Summit.
• Strong communication and teamwork abilities.

Responsibilities

• Receive all parts and verify that orders are accurate and complete and match the vendor’s invoice.
• Mark and store all received parts with the proper work order number.
• Check for returned parts and obtain a parts return slip.
• Ensure all documentation is delivered to front office management.
• Return unnecessary parts for credit after repairs and document activity.
• Check daily on the status of incoming parts for the next day’s orders.
• Enter and scan all payable invoices and compare vendor invoices against estimates for accuracy.
• Detail work as required.

PARTS COORDINATOR:

The Parts Coordinator increases the efficiency of the store by ensuring that parts are received, controlled, and delivered to appropriate technicians as needed. He/she must be highly organized and must keep excellent documentation, to minimize losses. He/she must be able to read and understand the estimate to ensure the parts received match the parts ordered and must communicate well with all production and management staff. Participate in daily production/release meetings to provide key information to managerial staff.

ACCOUNTABILITY & RESPONSIBILITY OF POSITION:

Receiving / Inventory of Parts:

• Receive all parts and verify that the order is accurate and complete and matches the vendor’s invoice (Best practice is to do it while the driver is on-site to allow any omissions or damage to be noted and shared with management).
• Mark and store all received parts with the proper work order number in an appropriate location.
• Check for returned parts for that vendor and make sure you get a parts return slip.
• Ensure all documentation is delivered to front office management.
• Upon completion of the repair, return unnecessary parts for credit and document this activity.
• Check daily on the status of incoming parts for the next day's orders.
• Upon receipt of the correct parts, enter and scan all payable invoices.
• Compare vendor invoice against estimate for accuracy of parts received.
• Detail work as required.

Required Education, Skills, and Qualifications:

• Valid status in Canada and can work for any employer without the need for sponsorship.
• Keyboarding skills.
• Proficient with MS Office and has working knowledge of Summit.
• Work independently without close supervision.
• Works well with others & a positive work ethic.
• Flexible/adaptable to constant change.
• Highly organized; ability to handle multiple concurrent assignments.
• Ability to prioritize, organize, and plan work under own initiative.
• Strong communication skills (reading, writing, speaking, listening).
