Job summary

Algonquin College in Ottawa is seeking an Events Assistant to support Student Life events, from planning to execution. You will partner with the Events Programmer, coordinate with clubs, suppliers, and marketing, and help ensure memorable campus events while delivering excellent service.

The role requires a diploma in events management or related experience, strong communication, and the ability to lift equipment and work beyond regular hours. This is a part-time campus position.

Qualifications

  • Diploma or a combination of education and related experience in events management.
  • Strong communication skills.
  • Minimum 1 year of experience in event promotion.
  • Knowledge of Audio/Video equipment is an asset.

Responsibilities

  • Assist with planning, preparation, promotion, and execution of Student Life events.
  • Act as an event host and/or brand representative at events.
  • Coordinate with Club and Food Cupboard teams for club events and food drives.
  • Provide exceptional customer service to students and guests at events.
  • Assist with setup/teardown and on-site event operations.
  • Coordinate with Marketing for event advertising and assets.

Events Assistant

Reports To : Senior Manager, Student Life

Nature and Scope

Reporting to the Senior Manager, Student Life, the Events Assistant supports the planning, preparation, promotion, and execution of Student Life events and activities. Working under the direction of the Events Programme r, the Events Assistant assists with event logistics, set-up, tear-down, administrative tasks, student engagement, and on-site event operations. This role provides an excellent opportunity for someone looking to gain practical experience in event management while contributing to a positive and engaging campus environment.

Job Duties
  • Support the Events Programmer with the planning, preparation, promotion, and execution of Student Life events by assisting with event logistics, ticketing, artist hospitality, event setup, staffing support, and post-event wrap-up.
  • Act as an event host and/or brand representative at various events, including speaking engagements.
  • Work directly with the Clubs and Communities Coordinator and Food Cupboard Coordinator to coordinate and facilitate Club-lead events and food drives.
  • Welcome students and guests while providing exceptional customer service during events.
  • Lead the rearranging and moving of furniture and fixtures to accommodate staging/event space for events when required.
  • Rearrange or move furniture and equipment to accommodate event requirements.
  • Communicate and coordinate each event with all stakeholders by ensuring open and clear two-way communication with all parties of an event.
  • Work directly with the Marketing department to request all event-related advertising, including poster design, digital assets, video promotions, and radio ads. All program and event marketing strategies are to be developed tastefully, protecting the Students' Association’s image.
  • Assist with reviewing event information for accuracy prior to publication.
  • Assist in collecting attendance statistics, participant feedback, and post-event evaluations.
  • Other duties as assigned.

Desired Skills and Qualifications
  • The ideal candidate would have a Diploma or a combination of education and related experience in Events Management, and Business.
  • Strong communication skills.
  • Minimum 1 year of experience working in event promotion. Experience programming in the College/University market is an asset.
  • Previous experience assisting with events, customer service, hospitality, or student programming is considered an asset.
  • Knowledge and experience with Audio/Video equipment set up and use.
  • Schedule that allows work to be done outside regular business hours.
  • G-Class Driver's Licence will be seen as an asset.
  • The ability to lift at least 40lbs.
Eligibility for CSEP position:
  • Must be currently enrolled as a student in a full-time program at Algonquin College.
  • The following students are not eligible: Second Career, Apprenticeship Programs, International students, Algonquin College employees paying a reduced tuition, Collaborative programs with the University of Ottawa or Carleton University and all programs that are not Ministry-approved;
  • You must be a Canadian citizen, a Permanent Resident, or a Protected Person/Convention Refugee within the meaning of subsection 95(2) of the Immigration and Refugee Protection Act (Canada) prior to the application deadline date
  • You must demonstrate a financial need by successfully applying for OSAP or out-of-province financial aid funding.
