Job summary

CPA Alberta is seeking an organized administrator to provide legal and operational support to the Associate General Counsel and Tribunals Office. The role involves managing files, drafting records, tracking deadlines, and coordinating hearings with stakeholders.

Hybrid work arrangements are available, with home days capped at three per week. Experience in adjudicative settings is preferred, along with strong Microsoft Office and collaboration tools proficiency.

Qualifications

  • 3–5 years of related administrative legal support experience.
  • Post-secondary education in legal assistant or paralegal studies is an asset.
  • Meticulous attention to detail in all areas of work.
  • Excellent organizational and time management skills.
  • Proven ability to manage conflicting demands and priorities.
  • Effective verbal and written communication skills.
  • Working knowledge of Word, Excel, Outlook, Teams and Adobe Acrobat.
  • Experience with Zoom, SharePoint and Microsoft Teams.
  • Experience with adjudicative processes or decision-making environments is an asset.

Responsibilities

  • Preparing new discipline and appeal files including opening files and templates.
  • Maintaining the CPA Alberta member and hearing database.
  • Drafting records of proceedings, legal documents, correspondence, notices, and court documents.
  • Obtaining and maintaining all files and records related to hearings.
  • Tracking statutory deadlines and milestones to ensure compliance and timely progression.
  • Coordinating dates for hearings with parties, witnesses, and counsel.
  • Coordinating Tribunal volunteers, conflict checks, and participation in hearings.
  • Distributing submissions and information to parties.
  • Attending hearings when required to ensure proper procedures are followed.
  • Coordinating with independent counsel on decisions within internal time frames.
  • Appropriate management of exhibits for hearings.
  • Preparing documentation regarding Tribunal outcomes for registrant files.
  • Preparing hearing process reporting as required.
  • Responding to verification requests as needed.
  • Administering the collections process.
  • Coordinating calendars and scheduling meetings.
  • Assisting Privacy Officer with privacy requests per governing legislation.
  • Assisting with Ombudsman requests as required.
  • Organizing decisions for publication.
  • Contributing to continuous improvement of tribunal and discipline processes.

This role primarily assists and provides administrative, legal, and operational support to the Associate General Counsel, Tribunals Office, and other Regulatory Team members.

CPA Alberta has offices in Edmonton and Calgary and provides hybrid Telecommuting opportunities (working from home a maximum of 3 days a week).

What you bring
  • 3 - 5 years of related administrative legal support experience
  • Post-secondary education in legal assistant, paralegal studies, or a related discipline is considered an asset

What you will be doing
  • Preparing new discipline and appeal files as required including opening files and creating templates
  • Maintaining the CPA Alberta member and hearing database
  • Drafting records of proceedings, legal documents, correspondence, notices, and court documents
  • Obtain and maintain all files and records related to hearings and retain the required documentation
  • Proactively track statutory deadlines, limitation periods, and procedural milestones to ensure compliance and timely progression of matters
  • Contacting the investigated party, witnesses, the CIC Secretary, and legal counsel to coordinate dates for hearings
  • Contacting selected Tribunal volunteers, conducting conflict checks, and confirming participation in the scheduled hearings
  • Receiving and distributing submissions, applications and information to parties
  • When required, attending hearings to ensure appropriate procedures are followed and to provide support to tribunals and other participants
  • Working with independent legal counsel to coordinate the rendering and issuance of decisions, on internal time frames
  • Appropriate management of exhibits – all things relating to the appropriate management of the exhibits from a hearing
  • Preparing documentation regarding the outcomes of Tribunals to be placed on the registrant file, when required
  • Preparing reporting on the hearing process as required
  • Responding to verification requests as needed
  • Administration of the collections process
  • Coordinating calendars and scheduling meetings.
  • Assisting the Privacy Officer with privacy requests in accordance with the governing legislation.
  • Assisting with requests from the Ombudsman’s office as required
  • Organizing decisions for publication
  • Contribute to continuous improvement of tribunal and discipline processes and perform other duties as assigned in support of the Conduct & Discipline function
