Job summary

CPA Alberta is seeking a Coordinator, Secretariat to support the Associate Director, Secretariat and the Office of the Registrar and Regulatory. The role involves administrative, logistical, and communication duties, with reception relief and potential cross-team support.

The position offers hybrid Telecommuting (up to 3 days work from home per week) in either Calgary or Edmonton, and requires strong organizational skills and proficiency in MS Office and coordination of meetings.

Qualifications

  • Minimum two years’ experience in an office environment.
  • Diploma in a related field would be an asset.
  • Excellent verbal and written communication skills.
  • Exceptional multi-tasking skills with a proven ability to stay organized.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Knowledge of SharePoint is an asset.
  • Previous experience with database maintenance would be an asset.
  • Aptitude or interest in software technology would be an asset.

Responsibilities

  • Coordinate and support committee meetings, including scheduling, logistics, travel arrangements, catering, and virtual meeting support.
  • Prepare and maintain meeting minutes, committee records, and decision documentation.
  • Coordinate volunteer orientation, training and recognition initiatives.
  • Maintain records of committee decisions and related policy documentation.
  • Track committee member terms and informing the Associate Director of approaching timelines as needed.
  • Assist with documenting, testing and resolving system issues related to regulatory applications and processes.
  • Support the maintenance of internal procedural manuals.
  • Support other teams within the Office of Registrar and Regulatory and provide additional support during peak times for other teams.
  • Provide reception relief coverage.
  • Other duties as assigned by the Associate Director, Secretariat.

The Coordinator, Secretariat is responsible for supporting the Associate Director, Secretariat in the efficient functioning of the Office of the Registrar and Regulatory Department by providing administrative, logistical, and communication support. This also includes supporting other areas when required, including reception coverage.

CPA Alberta has offices in Edmonton and Calgary and provides hybrid Telecommuting opportunities (working from home a maximum of 3 days a week).
