The Operations & Executive Support Coordinator supports cross-functional departments through a mix of administrative, sales, and executive support tasks. Responsibilities include data entry, CRM maintenance, marketplace analysis, order tracking, and direct support to the CEO.
Key Responsibilities:
- Perform ad hoc administrative tasks to support cross-functional teams.
- Monitor and analyze marketplace pricing across platforms.
- Provide sales support, including CRM updates, quoting, and order tracking.
- Handle data entry with strong attention to accuracy and confidentiality.
- Deliver executive support to the CEO, including calendar management, travel coordination, and meeting preparation.
- Strong written, verbal and communication skills
- Ability to prioritize, multi-task and learn quickly
Qualifications & Experience:
- Post-secondary education in Business Administration or related field.
- 2+ years of experience in an administrative, executive assistant, or sales support role.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and CRM platforms (e.g., Salesforce, HubSpot).
- Strong analytical skills with the ability to monitor and interpret marketplace pricing and trends.
- Exceptional attention to detail and accuracy in data entry and reporting.
- Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proactive and adaptable, with a willingness to learn and support cross-functional teams as needed.
- Experience supporting senior executives, including calendar management and travel coordination, is an asset.
