How you’ll make an impact

As a Business Support Coordinator, you will be a key player in ensuring daily operations at Xero run smoothly. You should be comfortable working in an ever-changing, fast-paced environment, with strong administrative skills, effective communication, and proactive thinking. You are someone who is always one step ahead, planning and prioritising effectively.

You will provide exceptional administrative support to the Executive General Managers and Senior Leaders within your business area. A key part of this role is coordinating work across domains (Customer & Operations). You will collaborate closely with other Business Support Coordinators, Operations Managers, senior leaders, and teams to streamline processes, identify improvement opportunities, and support the team’s daily operations.

What you’ll do

  • Support senior leaders with diary management, scheduling meetings, expense claims, and travel arrangements.
  • Coordinate the SLT’s annual events calendar and assist as needed.
  • Build and maintain strong relationships within your support group and the wider organisation.
  • Manage purchase orders, contracts, and payment processes for your domain if required.
  • Assist with organising meetings, workshops, and events, ensuring all resources are prepared in advance.
  • Support onboarding of new employees.
  • Act as a liaison between the Leadership team and other parts of the business for diary management, events, and resource planning.
  • Promote global ways of working and communication within the Leadership Team.

  • The Leadership Team receives excellent administrative support.
  • Diaries are managed effectively and in real-time.
  • Travel arrangements are seamless and timely.
  • Expenses are managed efficiently within budget, with issues escalated appropriately.
  • Work quality and accuracy are consistently high.
  • Processes are well documented and accessible to all teams.
  • There is strong collaboration and continuous improvement within the team.

  • Extensive experience supporting senior executives administratively.
  • Excellent relationship-building skills across all levels.
  • High integrity and experience handling confidential information.
  • Experience in project or operations coordination.
  • Experience in a fast-growing, global business is preferred.
  • Proficiency with G-suite is a plus.
  • Strong multitasking skills in a dynamic environment.
  • Experience leading project or process improvements.
  • Ability to work confidently across multiple time zones.
  • Highly organized, action-oriented, and detail-focused.
  • Ability to foster effective relationships quickly.
  • Capable of managing critical issues proactively.
  • Supportive, proactive, and with a positive attitude.
  • Excellent communication, attention to detail, and a 'can-do' mindset.
  • Practical process management skills.
