The Role
As an Operations Coordinator at Neo Financial, you will play a vital role in supporting the efficiency and effectiveness of our Store Managers, District Managers, and sales program. You will be responsible for a range of administrative, technical, and logistical tasks that enable our field teams to focus on driving sales and achieving their goals. This role requires a proactive individual with strong organizational, communication, and problem-solving skills, capable of managing multiple priorities in a fast-paced environment.
What You'll Be Doing
- Schedule and Resource Management: Provide comprehensive support for schedule management, including updates, audits for accuracy and efficiency, and proactive identification of potential conflicts. Coordinate staffing needs and manage resources effectively to ensure optimal coverage and operational efficiency across the field teams.
- Technical Support & Troubleshooting: Serve as a primary point of contact for technical inquiries from infield sales representatives and Store Managers, providing timely support and troubleshooting issues related to company systems and devices.
- Data Management & Flow: Manage the accurate and efficient inflow and outflow of critical data to the field teams, ensuring information is readily accessible and properly utilized for performance tracking, decision-making, data analysis and reporting.
- Recruitment Coordination & Hiring Logistics: Coordinate recruitment efforts across the district(s), including scheduling interviews, managing candidate communication, and assisting with hiring logistics.
- In-Field Training Coordination & Oversight: Support the coordination and logistical aspects of in-field training sessions and larger training classes, ensuring smooth execution and tracking of training completion.
- Payroll & Incentive Administration: Manage payroll reconciliation processes, ensuring accuracy and addressing discrepancies promptly. Administer bonus programs, including communication of targets, tracking performance, and reconciling payouts. Support performance measurement initiatives by providing relevant data and reports to field leadership.
Who We Are Looking For
- Organizational & Coordination Skills: Exceptional organizational and coordination skills with 4+ years of proven experience in managing complex schedules, coordinating multiple tasks and projects simultaneously, and developing efficient administrative systems.
- Problem-Solving & Technical Aptitude: Strong problem-solving skills with a knack for troubleshooting technical issues and providing effective solutions. 3-4 years of experience in providing technical support or resolving operational issues is preferred.
- Communication & Interpersonal Skills: Excellent written and verbal communication skills, with 4-5 years of experience in effectively communicating with various stakeholders in a professional setting.
- Data Management Skills: 3 years of experience in managing and maintaining data accuracy, with a strong attention to detail and ideally experience using data management tools.
- Recruitment & Onboarding Knowledge: Familiarity with recruitment processes, onboarding best practices, and HR-related documentation. 1-2 years of experience supporting recruitment and onboarding activities is an asset.
- Technical Proficiency: Highly proficient in various software and technology platforms, with the ability to quickly learn new systems and implement tech-based solutions. 1-2 years of experience working with business software, CRM systems, project management software, and providing technical assistance is preferred. Experience with Google Suite, Slack, and Rippling are an asset.
- Proactive & Self-Motivated: A proactive approach to identifying needs and implementing solutions, with 2-3 years of experience working independently.
