We are seeking a proactive and detail-oriented Administrator to support our executive team, primarily in managing scheduling, travel arrangements, and office administration. The ideal candidate will be organized, resourceful, and capable of handling various tasks efficiently while ensuring smooth operations.

This is a hybrid position based in Toronto, ON. The successful candidate lives in Toronto and will commute to our downtown Toronto office regularly.

What you will be doing:

As an Executive Operations Coordinator, you’ll report to the VP of People & Culture and your responsibilities will include:

  • Meeting Coordination: Plan and schedule meetings, balance priorities and availability, ensure all details are accurately recorded and communicated, proactively resolve scheduling conflicts, send invites, prepare agendas, and coordinate with stakeholders.
  • Email Management: Handle incoming emails, provide standard replies, prioritize and manage email flow.
  • Travel Arrangements: Organize flights, accommodations, assist with documentation and expense reports.
  • IT & Equipment Administration: Maintain inventory, coordinate ordering, manage onboarding/offboarding lists, support access management, troubleshoot basic tech issues.
  • General Office Administration: Oversee office operations, coordinate maintenance, manage supplies, organize social events, and coordinate weekly lunch orders.

The skills and experience you must have:

  • Proven experience in administrative roles such as Administrative Assistant, Office Manager, or Executive Assistant.
  • Strong organizational and time management skills.
  • Excellent communication skills.
  • Proficiency in Microsoft Office, Google Suite, and familiarity with digital tools like Dropbox.
  • Comfort working with Mac and PC systems, including basic troubleshooting.
  • Ability to multitask in a fast-paced environment.
  • Proactive with keen attention to detail.
