Responsibilities

• Aviation Program Operations: Coordinate training for flight instructors and students, ensure certification records are filed.
• First point of contact for students, staff, and public inquiries; provide program information.
• Student advisor for aviation students, in collaboration with program advisors.
• Coordinate payment of invoices and expense submissions; track course registrations.
• Collaborate with department leadership to support administrative functions.
• Assist in preparing meeting agendas and minutes; track inventory and supplies.
• Monitor licences/certificates expiries and update aviation website.
• Onboarding of new employees and students.
• Scheduling Duties: Plan and organize flight and simulator training, considering resources and conditions.
• Ensure flight mission records are completed; update Scheduling manual.
• Review aircraft hours remaining; align with scheduling and maintenance needs.
• Adjust schedules with maintenance to create viable solutions.

About the Department of Aviation

Mount Royal University's Aviation diploma program has been in operation since 1970, and the Bachelor of Aviation Management began in 2024. The program has a strong reputation within the aviation industry across Canada. The department is part of the Faculty of Business, Communication Studies and Aviation. Students enrolled in the flight training fly out of MRU's Springbank campus, using a fleet of thirteen aircraft and six simulators. Flight students graduate with a Commercial Pilot Licence and Group 1 Instrument Rating.

About the Role

This position is at the Springbank campus within the flight operations of the airport, and the majority of the work is done at Springbank with minimal requirement to work at the main campus. The employee will provide coordination support to the aviation program in general, and to three areas specifically. These include Aviation Program Operations, Aircraft Maintenance, and Scheduling. This position supports all these functions and the individual in this role will assist with work that is completed by various other individuals/departments.

The work schedule will require one weekend day and requires a start time of 7:00 am or 7:30 a.m.

A minimum of two days a week will focus on Scheduling when the full-time Scheduler is on days off. Management of the schedule is on-going, as changes in the schedule occur daily due to maintenance, weather, and student progress. This constant change requires adaptability and flexibility in planning and ongoing revisions. Communication with administrative and maintenance staff is required to ensure accurate information flow to keep up to date with relevant scheduling information.

Responsibilities

Aviation Program Operations

• Assist the Person Responsible for Maintenance Control with the coordination and tracking of training for flight instructors & students in the conduct of elementary work, and other required training, ensuring that the applicable certification is appropriately recorded and filed.
• First point of contact for students, staff, and public inquiries. Providing program information as required.
• Student advisor for aviation students, working with the Bissett School of Business advisors.
• Coordinate payment of invoices and expense submissions.
• Track payment and registration of flight courses.
• Collaborate with the Chair, Chief Flight Instructor, flight instructors, staff and the Faculty Financial Officer and to support other administrative functions.
• Assist in preparing agendas and taking minutes for meetings.
• Track inventory and order supplies.
• Monitor and approve all lisences/certificate expiries.
• Update info on MRU aviation website.
• Onboarding of new employees and students.

Scheduling Duties

• Plan and organize student flight and simulator training sessions taking into consideration student training requirements, aircraft, instructor and simulator availability, aircraft and simulator "unserviceabilities", weather conditions and general time frames.
• Ensure scheduled flight missions records are completed.
• Update Scheduling manual.
• Review aircraft hours remaining and ensure it fits with the scheduling plan before the airplane goes to maintenance.
• Make changes to the schedule based on maintenance needs, coordinating with the Scheduler and Maintenance to create solutions.
