Accountabilities And Duties
Procurement & Vendor Coordination
- Issue, manage, and administer all operations purchase orders, ensuring vendor invoices align with purchase order details.
- Coordinate the vendor qualification process, including collecting forms, credit applications, safety documentation, and other vendor requirements to support the purchase order process.
- Coordinate internal review and basic negotiation of vendor terms and conditions for operations-related purchase orders.
Accounting Support
- Work closely with BluEarth’s accounting team to process procurement activities in accordance with BluEarth’s accounting and asset management policies.
- Review and follow up on vendor invoices to ensure accuracy and appropriate billing.
- Prepare and submit payment requisitions for contractual payments.
- Support budget tracking and reconciliation activities.
- Prepare quarterly accruals of unbilled goods and services.
Contract & Compliance Administration
- Track contractual commitments in BluEarth’s contract lifecycle management system (Agiloft).
- Provide contract administration and file management support for operations.
- Support registry and certification of environmental attributes and related products.
Data, Reporting & Performance Monitoring
- Support accuracy reviews of facility performance data, including production, downtime/outages, and availability, to ensure high quality reporting and documentation.
- Compile monthly, quarterly, and annual actuals for review and submission to the accounting team (including generation, production, availability, and outage data).
- Support ad hoc reporting and information requests as required.
Administrative Support
- Provide inventory tracking assistance for operational facilities.
- Provide general administrative support to the Operations Planning & Administration team.
Education
- Post-secondary education in business administration or accounting (degree, diploma, or certificate level).
- Additional coursework or training in procurement, accounting, or data systems is a plus.
Experience
- Three to five years of experience in an administrative support role, ideally within a fast-paced, multi-entity environment.
- Hands-on experience with purchase orders and invoice processing, ideally within a NetSuite ERP system.
- Familiarity with contract management, vendor qualification, and basic negotiations.
- Background in operations environments, preferably in the renewable energy sector.
- Experienced in supporting accounting processes such as invoicing, accruals, and reconciliation.
Technical Skills- Proficient with:
- Microsoft Office Suite (especially Excel and Word)
- ERP systems like NetSuite
- Contract lifecycle systems like Agiloft
