Job summary

Jarlette Health Services is seeking an Operations Assistant for the Long-Term Care division, based on-site in Midland, Ontario. The role focuses on providing comprehensive administrative and coordination support to ensure compliant, efficient operations across multiple long-term care homes.

Reporting to the Director of Long-Term Care Operations, you will assist with governance, contracts, meetings, onboarding, and quality/compliance activities, while liaising with regional and governmental

Qualifications

  • Post-secondary education in business, office administration or related discipline preferred; equivalent experience may be considered.
  • Administrative/coordination experience in a professional office environment is required.
  • Experience supporting remote team members and coordinating operations across multiple locations is a strong asset.
  • Familiarity with navigating government entities at regional/provincial/federal levels is a strong asset.
  • Proficiency with Google Workspace, Microsoft Office, electronic spreadsheets, and cloud environments.
  • Strong written and verbal communication with a service-oriented approach.
  • Excellent organization, time-management, and ability to multi-task independently.
  • Attention to detail, resourcefulness, discretion with confidential information.
  • Commitment to ongoing education and continuous improvement.
  • Experience in retirement homes/long-term care or regulated multi-site environments is an asset.
  • Familiarity with regulatory reporting and document control in health care is an asset.
  • Ability to manage sensitive operational information and time-sensitive regulatory documentation.

Responsibilities

  • Support divisional leadership and home-facing processes.
  • Assist with regulatory and operational reporting, contracts, meetings, surveys, and records.

Operations Assistant - Long-Term Care

Status: Permanent Full-Time

Reporting to the Director of Long-Term Care Operations, the Operations Assistant provides primary comprehensive administrative and coordination support to the Long-Term Care Division. The role provides administrative and coordination support to the Long-Term Care Operations division. The role supports divisional leadership, home-facing processes, regulatory and operational reporting, contracts, meetings, surveys, records, onboarding and quality/compliance activities to help the division and its homes operate consistently and meet organizational and regulatory requirements.

The following traits and qualifications are required:

  • Post-secondary education in business, office administration or a related discipline is preferred; an equivalent combination of education and relevant experience may be considered.
  • Administrative or coordination experience in a professional office environment is required.
  • Experience providing administrative support with a proven ability to seamlessly support remote team members and coordinate operations across multiple geographic locations is a strong asset.
  • A proven ability to navigate and collaborate with regional, provincial, and federal government entities is a strong asset.
  • Proficiency with Google Workspace, Microsoft Office, electronic spreadsheets, shared drives/cloud environments and electronic file management.
  • Strong written and verbal communication skills with a professional, service-oriented approach.
  • Excellent organization, time-management and multi-tasking skills, with the ability to manage competing priorities and work independently.
  • Keen attention to detail, resourcefulness, flexibility and the ability to exercise discretion with confidential information.
  • Demonstrated commitment to ongoing education and continuous improvement.
  • Administrative experience in retirement homes, long-term care, seniors living, health care or another regulated multi-site environment is an asset.
  • Familiarity with regulatory reporting, document control, contracts and electronic systems used in health care is an asset.
  • Ability to manage sensitive operational information and time-sensitive regulatory documentation with accuracy.
