Executive Coordinator

Status: Permanent Full-Time

Location: On site at 658 King Street, Midland ON

Reporting to the President, the Executive Coordinator provides high-level, confidential administrative, organizational, and coordination support to the President, Chief Operating Officer (COO), and Chief Financial Officer (CFO). The role serves as a central point of coordination for the Executive Office and facilitates the effective flow of information, decisions, and priorities across the organization.

The Executive Coordinator anticipates executive needs, exercises sound judgement, and independently manages complex calendars, meetings, correspondence, records, travel, and priority initiatives. The position handles highly sensitive business, financial, human resources, legal, and strategic information and must consistently demonstrate discretion, professionalism, exceptional written communication, and meticulous attention to detail and absolute discretion.

This is a senior administrative role that operates with a high degree of autonomy and accountability. The Executive Coordinator supports executive effectiveness and contributes to the efficient operation of a multi-site seniors' housing organization.

The following traits and qualifications are required:

  • Completion of a post-secondary diploma or degree in Business Administration, Office Administration, Communications, or a related discipline; an equivalent combination of education and experience be considered.

  • Experience in a multi-site organization and/or health care, seniors' services, or regulated environment is an asset.

  • Exceptional written communication, grammar, editing, and proofreading skills, with the ability to prepare high-quality executive correspondence, reports, and presentations.

  • Demonstrated ability to handle confidential and sensitive information with discretion, sound judgement, and integrity.

  • Superior organization, time management, and multi-tasking skills, with the ability to manage competing priorities and deadlines.

  • Strong interpersonal and verbal communication skills with a high level of professionalism and diplomacy.

  • Ability to work independently, anticipate needs, and ensure complete follow-through on assignments.

  • Advanced proficiency with Google Workspace and strong technical aptitude with office systems and tools.

  • Experience coordinating meetings, projects, and organizational initiatives in a fast-paced environment.
