Job description

We’re looking for self-directed, smart and passionate people to help us bring solutions to Canadian communities.

A company you can call home welcomes you to be yourself from the start and gets you contributing in your best way possible. What are you passionate about?

ATTENTION, SELF-MOTIVATED PROBLEM-SOLVERS!

Our Kanata office is home base for teams doing big things across the North, and this role keeps that home base running. This is not a front-desk or receptionist role, and it is not a traditional administrative-assistant position. You will not be answering the phones or greeting people at the door any more than anyone else on staff. You will be the person who owns the building and its vendors, keeps the workplace ready, and is the go-to for whatever the office and its people need to keep moving.

And that's just the starting mandate. SSi is growing, with more staff, more locations, and work that already reaches beyond telecom into new lines of business. We want a self-motivated person who runs this role properly and then grows with the company, not someone looking for a fixed list of tasks that never changes.

YOUR MISSION
  • Own the Kanata site. Walk the offices, kitchen, meeting rooms, common areas, parking lot and outbuildings,
and deal with whatever is broken, worn or out of place.
  • Keep the workplace ready, with the kitchen and common areas tidy, meeting rooms set and supplies stocked.
  • Manage the vendors we pay to look after the property, including cleaning, snow removal, landscaping, waste and trades. Check their work and follow up when it is not right.
  • Help keep our field crews moving. Share ownership of Field Operations travel and accommodations with the field teams and our booking service, so crews get where they need to be, on time and set up to work.
  • Help the team and the events. Pitch in on staff gatherings, onboarding and health & safety, and the work that never fits neatly on a task list.
  • Participate in a 24/7 on-call rotation, providing after-hours support (evenings and weekends) as needed to minimize network downtime in emergency situations.
  • Grow with SSi. As the company adds people, sites and new lines of work, take on more. This job should get bigger because you made yourself the person who can run a larger operation.
WHAT WE'RE LOOKING FOR
  • A post-secondary diploma or degree in business, operations, facilities, human resources or a related field.
  • Five or more years of progressively responsible administrative, operational or facilities experience, including at least three years in an office-management, supervisory or team-lead capacity.
  • A track record of owning a building, a vendor set or an operations file under pressure, with many moving parts, tight timelines, and zero dropped balls.
  • Comfort with both the hands-on work of running an office and the follow-through of managing vendors and outcomes.
  • A highly motivated person who wants the role to expand as SSi's footprint and staff numbers grow, whether other locations, other verticals, or a larger operation.
  • Exceptional organization, judgment and autonomy, as a self-starter who drives work without waiting to be told.
  • The credibility to work with operations teams and senior leaders, and the firmness to hold vendors and contractors to standard.
  • A valid driver's licence.
CONSIDERED AN ASSET
  • Experience coordinating corporate, field or remote and northern travel and accommodations alongside a booking service or agency.
  • Experience managing building and grounds vendors.
  • Experience supporting operations through growth, whether more people, more than one site, or a widening line of business.
  • Human-resources know-how, including onboarding, policy, recognition, workplace culture and health & safety.
  • French, spoken and written, a real plus given our work across Northern Quebec and the Ottawa region.
  • Comfort with Slack, Microsoft 365, and ticketing systems.
