Job description

Vancouver, BC | Yaletown | Full-Time | In-Office
Salary: $47,500 - $58,000 CAD annually, based on experience
About Us

At our core, we’re one team — but we wear many hats. From Backdrop.com (event marketing and live activations) to Abacus Brands (award-winning games and toys), you’ll help keep the day-to-day operations of our Vancouver office running smoothly while supporting teams across both Vancouver and Los Angeles.

We’re looking for someone who wants to do more than simply manage a calendar or keep an office organized. This role offers the opportunity to work directly with leadership, gain exposure to different areas of the business, and build the skills needed to grow into an Executive Assistant, or Senior Administrative role.

If you’re naturally organized, resourceful, and the type of person who notices what needs to be done before someone has to ask, you’ll fit in well here.

The Role

As our Administrative Assistant, you’ll be an important part of keeping both our leadership team and office running smoothly.

You’ll work closely with two CEOs and supporting staff, while taking ownership of day-to-day office operations. One day might involve coordinating a delivery or helping a visitor at the front desk; the next might involve supporting a leadership project or helping organize an internal initiative.

We’re looking for someone who is professional, proactive, highly organized, and eager to learn — someone who wants to build a career, not just fill a position.

What You'll Do
Office Operations
  • Welcome visitors and provide a warm, professional first impression
  • Answer and direct incoming calls and email inquiries
  • Keep the office organized, welcoming, and running smoothly
  • Coordinate between our Vancouver and Los Angeles offices to support smooth communication, logistics, and day-to-day operations
  • Monitor and order office supplies
  • Coordinate incoming and outgoing shipments and deliveries
Administrative Support
  • Assist with scheduling, coordination, organization, and other administrative needs
  • Support internal projects and initiatives as needed
  • Help identify what needs to be done and take ownership without waiting to be asked
General Support
  • Jump into new tasks and projects as priorities shift
  • Act as a reliable resource for the broader team
  • Look for ways to improve organization, efficiency, and day-to-day operations
What We're Looking For

You don’t need to know everything on day one. We’re much more interested in how you work, how quickly you learn, and whether you take ownership.

You are:

  • Proactive — you see what needs to be done and take action
  • Organized — you can manage multiple priorities without losing track of the details
  • Resourceful — you’re comfortable figuring things out and finding solutions
  • Professional — you communicate confidently and represent the company well
  • A team player — you’re willing to jump in wherever support is needed
  • Curious and eager to learn — you want to build your skills and take on more responsibility
  • Detail-oriented — you take pride in getting things right
  • Positive — you bring a genuine “can-do” attitude to your work
Technical Skills
  • Strong written and verbal English communication skills
  • Comfortable using Google Workspace, including Google Drive, Docs, and Sheets
  • Comfortable working in an Apple/Mac environment
  • Working knowledge of Microsoft Office, including Outlook, Excel, and Word
  • Comfortable learning new software and systems
Growth & Development

This role is intentionally designed with growth in mind.

For the right person, this can be a starting point for a longer-term career with the company. As you gain experience and demonstrate your ability to take ownership, there will be opportunities to expand your responsibilities and grow into roles such as a Senior Administrative Lead or Office Manager.

If you’re ambitious, capable, and looking for a company where you can grow rather than stay in the same box, we’d love to meet you.

Why You'll Like Working Here
  • Competitive benefits — Medical, dental, and vision coverage
  • Room to grow — Build a career with opportunities to take on more responsibility
  • Leadership exposure — Work directly with senior leadership and gain meaningful business experience
  • Variety — No two days are exactly the same, with exposure to office operations, executive support, coordination, and projects
  • Collaborative environment — Work alongside a smart, supportive team across creative, technical, and operational disciplines
  • Innovative company — Be part of a growing organization working across exciting brands, products, and experiences
  • Culture of ownership — We value people who take initiative, communicate clearly, and bring solutions to the table
The Opportunity

If you’re looking for your next step and want a role where your initiative can directly shape your growth, this could be a great fit.

We’re looking for someone who wants to come in, learn quickly, make an impact, and grow with us.
