Job summary

Caressant Care Nursing and Retirement Homes Ltd. is seeking an Office Assistant to provide broad administrative support to our Executive Team and operations across our long-term care and retirement homes.

The role is full-time at our Woodstock, Ontario corporate office, offering a collaborative environment and opportunities to grow within a people-focused organization. Ideal candidates bring strong organizational skills, proficiency in Microsoft Office, and excellent communication.

Qualifications

  • High school diploma or equivalent; post-secondary Office Administration education is an asset.
  • Experience in administrative, office support, reception or customer service roles.
  • Strong organizational and time-management skills; can manage multiple tasks and changing priorities.
  • Proficiency with Microsoft Office (Outlook, Word, Excel) and adapting to new systems.
  • Experience coordinating courier services, shipping and receiving (Purolator is an asset).
  • Strong verbal and written communication with professional telephone manners.
  • Attention to detail and accurate record-keeping.
  • Ability to handle confidential information with discretion.
  • Willing to assist with a variety of administrative tasks.

Responsibilities

  • Provide administrative support to the Executive Team and operations of our long-term care and retirement homes.
  • Coordinate administrative tasks across head office and facilities.
  • Manage supplies, office equipment, deliveries, and front-desk activities as needed.
  • Maintain accurate records and documentation; handle confidential information discreetly.
  • Support courier services and shipping/receiving processes.

Caressant Care is seeking a highly organized, proactive, and results-oriented Office Assistant to provide a full range of administrative support and coordination to our Executive Team and the operations of our Long-Term Care and Retirement Homes.

What You Bring…
  • Completion of a high school diploma or equivalent; post-secondary education in Office Administration, Business Administration, or a related field is considered an asset.
  • Previous experience in an administrative, office support, reception, or customer service role is preferred.
  • Strong organizational and time-management skills, with the ability to manage multiple tasks and changing priorities.
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel, and comfort learning new office systems and technology.
  • Experience coordinating courier services, shipping and receiving, or Purolator services is considered an asset.
  • Strong verbal and written communication skills, with a professional and courteous telephone manner.
  • Demonstrated attention to detail and ability to maintain accurate records and documentation.
  • Ability to independently manage routine office needs, including monitoring and ordering supplies, coordinating deliveries, maintaining common office areas, and identifying items requiring follow-up.
  • Strong interpersonal skills and the ability to provide helpful, professional service to employees, visitors, vendors, and external contacts.
  • Demonstrated initiative and sound judgment, with the ability to anticipate office needs and resolve routine issues independently.
  • Ability to handle confidential or sensitive information with discretion.
  • Dependable, flexible, and willing to assist with a variety of administrative and operational tasks as required.

The salary range is $48,000 - $50,000 based on experience and qualifications. The incumbent is required to work at the Head Office location Monday - Friday during regular business hours. If this resonates with you, we would love to have a conversation about you joining our team!
