Job description

The Opportunity :

This is an in-office Monday to Friday position at our Yorkville office.

We are looking for a proactive, detail-oriented, and organized individual with strong multitasking capabilities. The Office Administrator is the face of our organization acting as the first point of contact while also providing administrative support for select leaders. You will be expected to coordinate and oversee all administrative responsibilities to ensure our office is running smoothly and efficiently. Strong interpersonal and communication skills are essential. This position will require the ability to interact and collaborate with various departments and management levels.

Key Responsibilities :

  • Administrative support and calendar management for select leaders
  • Maintain inventory of office supplies and equipment
  • Support office processes and planning, including preparation of meeting materials
  • Coordinate meetings and travel arrangements for select leaders
  • Assist with financial reporting and compliance filings
  • Plan and execute social activities for the office
  • Maintain documents and records in appropriate files
  • Collaborate across functions and provide ad-hoc support and / or manage special projects as assigned
  • Maintain confidentiality and demonstrate sound judgment

Qualifications :

  • Proven experience as an Office Administrator, Executive Assistant or Receptionist
  • Post-secondary degree
  • Proven problem-solving skills and agility to anticipate and tackle any task assigned
  • Strong written and oral communication skills and demonstrated ability to collaborate and communicate effectively with team members and other stakeholders
  • Exceptional attention to detail, take direction and work effectively independently
  • Proficiency with technology, including the ability to work efficiently and effectively using multiple software platforms (Microsoft Office, Outlook, Excel, PowerPoint), and other programs as required
  • General accounting literacy is an asset
