Job summary

SeaLand Building Group in Nova Scotia is seeking an Office & Accounting Administrator to support daily administrative and accounting activities within a fast-paced construction environment. This role ensures financial records are accurate and office operations run smoothly.

The successful candidate will have strong data-entry skills, excellent attention to detail, and the ability to manage multiple priorities while communicating professionally with employees, customers, vendors, and visitors.

Qualifications

  • Post-secondary education in accounting or related field preferred.
  • Minimum 4 years of experience in a similar position.
  • Experience with Microsoft Office and accounting software.
  • Understanding of basic accounting principles (AP/AR, reconciliations, GL coding).

Responsibilities

  • Process accounts payable invoices with approvals and coding.
  • Assist with accounts receivable administration.
  • Reconcile vendor statements and investigate discrepancies.
  • Prepare deposits and record incoming payments.
  • Coordinate daily administrative activities of the office.
  • Answer calls, emails, and general inquiries; welcome visitors.
  • Manage office supplies, equipment maintenance, and travel arrangements.

Office & Accounting Administrator

The Office & Accounting Administrator is responsible for supporting the day-to-day administrative and accounting activities of the company. This position plays an important role in maintaining accurate financial records, coordinating office operations, and providing administrative support to employees, managers, customers, and vendors.

The successful candidate will be organized, dependable, and comfortable managing multiple priorities in a fast-paced construction environment. This role requires strong attention to detail, and sound judgment. This is an office-based position.

QUALIFICATIONS | EXPERIENCE

RESPONSIBILITIES
Accounting Administrator
  • Process accounts payable invoices, ensuring appropriate approvals, coding, and supporting documentation are obtained. Address any discrepancies.
  • Assist with accounts receivable administration.
  • Reconcile vendor statements and investigate discrepancies.
  • Prepare deposits and record incoming payments.
Office Administrator
  • Coordinate the daily administrative activities of the office and help ensure efficient office operations.
  • Responsible for general office upkeep and organization
  • Answer direct telephone calls, emails, and general inquiries.
  • Welcome visitors, customers, vendors, and employees in a professional manner.
  • Order office supplies and coordinate office equipment, maintenance, and service requirements.
  • Schedule meetings, coordinate calendars, and assist with travel arrangements when required.
  • Provide administrative assistance to project teams, management, and other departments as required.
  • Communicate with employees, customers, subcontractors, suppliers, and other external contacts.
  • Assist with special projects and perform other related duties as assigned.
  • Manage all crew and office team hotel bookings, make changes and reconcile invoices.
