Job summary

The YMCA of Owen Sound Grey Bruce is hiring a part-time Membership Services Representative. You will welcome members, process applications, registrations and payments, and help ensure a positive, safe experience for all visitors.

The role requires strong customer service, familiarity with ActiveNet, and proficiency in Microsoft Office. You will work flexible hours including mornings, evenings, weekends and holidays to support program needs.

Qualifications

• Diploma in Business Administration or equivalent customer service experience.
• Working knowledge of Microsoft Word, Excel, Office 365 and Teams is an asset.
• Familiarity with ActiveNet Database is an asset.
• Discreet handling of sensitive and confidential information.
• Current Standard First Aid, CPR-C & AED or willingness to obtain.
• Police Record Check and Vulnerable Sector Check on hire and during employment.
• Provide 3 professional references.
• Flexibility regarding assigned hours of work.

Responsibilities

• Controls access to the facility per child protection policy and admissions policy.
• Processes membership applications, holds and cancellations with minimal to no error.
• Processes payments including cash, cheque, debit, credit, third party and payment plans.
• Follows PCI compliance and completes deposits and daily cash outs.
• Completes program registrations through ActiveNet.
• Handles inquiries from members and the public; answers phones, voicemails and emails promptly.
• Demonstrates YMCA values in interactions with staff, guests, volunteers and members.
• Greets members and communicates schedule interruptions or changes.

As a charity igniting the potential in people, we are seeking a dedicated Membership Growth and Experience Lead.

Responsibilities:

• Controls access to the facility with respect to the child protection policy and our facility admissions policy.
• Processes membership applications, holds and cancelations with minimal to no error.
• Processes financial assistance applications, with care and tact.
• Processes payments; including but not limited to cash, cheque, debit, credit, third party and payment plans.
• Follows Payment Card Industry (PCI) compliance.
• Completes deposits and daily cash outs without error.
• Completes program registrations through ActiveNet.
• Handles general inquiries from members and the public confidently.
• Answers phones, voice messages and support emails in a timely manner. Answers phones within 2 rings, and emails/voicemails within 2 hours.
• Demonstrates YMCA values when interacting with Staff, guests, volunteers and members.
• Greets all members encountered with a smile, “hello” or by name.
• Alerts members to system notes with care and tact.
• Verbally updates members on program interruptions, closures or other changes to schedule.
• Frequently interacts with members for a variety of different reasons, using open-ended questions (i.e. conversation, praise, safety).
• Spends majority of time interacting with members.
• Responds professionally to challenging situations by actively listening to concerns, taking steps to satisfy the concerns and using a friendly tone of voice and body language when interacting with members who are angry or upset.
• Responds professionally to challenging situations by acknowledging feelings, validating perspective and showing respect for other’s opinions and capabilities.
• Discloses sensitive information appropriately.
• Intervenes in situations where people behave inconsistently with YMCA Values.
• Collects arrear payments within a reasonable timeframe.
• Conducts follow up calls/emails regarding NSF’s Cancellations, Holds, Tours, New Members, etc.
• Demonstrates a commitment to “YMCA Clean Culture” and SAM Standards.
• Actively participates in meetings and/or training sessions, as required.
• Performs all other duties as assigned.

Job Requirements:

• Be a minimum of 18 years of age.
• Be legally entitled to work in Canada.
• Have a working knowledge of Microsoft programs; Word, Excel, Office 365 and Teams an asset.
• Familiarity with ActiveNet Database would be an asset.
• Possess a diploma in Business Administration or equivalent Customer Service experience.
• Able to discreetly deal with information of a sensitive and confidential nature.
• Have current Standard First Aid, CPR-C, & AED certificate or willingness to complete and maintain throughout duration of employment.
• Provide Police Record Check and Vulnerable Sector Checks upon hire and regularly throughout duration of employment.
• Able to provide 3 professional references.
• Can demonstrate flexibility regarding assigned hours of work.
• Possess well-developed interpersonal, and relationship building skills; ability to establish rapport and excellent communication with members, staff and volunteers; excellent written communication skills.
