Job summary

CAA Club Group is seeking an organized office administrator to support general administrative tasks, member communications, and event/claims processing. This role offers hybrid work with three days in the Thornhill office and requires a post-secondary credential along with MS Office proficiency and a willingness to pursue Lean Six Sigma certification.

Key duties include document processing, donation requests, inventory management, SAP changes, and coordination with multiple internal teams.

Qualifications

  • Post-secondary diploma or degree required.
  • Willingness to complete Microsoft Office Professional certification and Lean Six Sigma (Yellow or above).
  • Hybrid work model with a minimum of 3 days in office.
  • Superior customer service, problem-solving and attention to detail.
  • Strong multitasking ability in a fast-paced environment.
  • Excellent organization and ability to maintain confidentiality.
  • Experience in general office administration and MS Office.

Responsibilities

  • General printing, faxing, scanning and filing, and preparation of mailouts as directed.
  • Complete Government & Community Relations donation requests and manage interoffice mail and fax for Club & Automotive Services.
  • Manage office supplies and order trunk organizers, gift cards and other premiums/swag.
  • Scan and index documents to OnBase.
  • Provide support for events and ERS claims administration.
  • Process RMS membership changes in SAP with elevated system access.
  • Handle SAP Resolution Centre (SRC) requests.
  • Return equipment and maintain employee records.

Position Details
What You Will Do
  • General printing, faxing, scanning and filing, and preparation of mailouts as directed.
  • Complete requests for the CCG Charitable Donation program on behalf of Government & Community Relations and manage interoffice mail and fax for Club & Automotive Services.
  • Manage office supplies and order trunk organizers, gift cards, and other premiums/swag.
  • Scan and index documents to OnBase.
  • Provide support for CCG/Club & Automotive events and ERS claims administration.
  • Administer ERS Network as directed by the Manager, Operational Efficiency.
  • Receive and action Member correspondence within established service levels, including scanning to OnBase.
  • Complete Membership mail‑out requests (e.g., trunk organizers, receipt requests, join applications) within established service levels.
  • Maintain Membership accounts, including name changes and marketing permissions.
  • Administer Membership Do Not Contact (DNC) on behalf of CCG Marketing.
  • Process TripTiks, including production of orders through the AAA TripTik Portal, printing, binding, and shipping.
  • Fulfill Map & Tourbook requests from the Call Centre.
  • Manage raw materials inventory and ship to retail stores.
  • Process RMS membership changes in SAP with elevated system access.
  • Handle SAP Resolution Centre (SRC) requests.
  • Process special Membership campaigns/events and HappyFox ticket submissions.
  • Return equipment and maintain employee records.
Who You Are
  • Able to work in a hybrid model (minimum 3 days per week in office).
  • Post‑secondary diploma or degree.
  • Completion of or willingness to complete Microsoft Office Professional certification and Lean Six Sigma (Yellow or above).
  • Superior customer service, problem‑solving, and attention to detail.
  • Strong multitasking ability in a fast‑paced environment.
  • Superior organization skills and dedication to timely completion of work; ability to maintain confidentiality.
  • Experience in general office administration and with MS Office.

Training will be in‑office at 60 Commerce Valley Drive East, Thornhill, ON L3T 7P9 for five days a week during the first nine months of the role. Following the training period, the position will be hybrid with an expectation of three days per week in the office.

The expected salary range for this position is not inclusive of total compensation. It will be impacted by factors such as skills, experience, location, and specific business line, scope, and level. Candidates with salary expectations outside of the range are encouraged to apply.
