Job Overview
Reporting to the Clinic Manager, Medical Office Assistants (MOAs) operate within the clinic environment, coordinating client services, managing the physical clinic environment, handling health information via the electronic medical record (EMR) and The Alex’s social services data platform, and facilitating communication between clients, clinicians, administration, and external care providers. MOAs rotate through various key roles and workstations and play a critical role within their assigned team of healthcare professionals. This is a full-time permanent position.
Key Responsibilities
- Maintain a high level of competency in EMR use, including scheduling, information entry, data management, document management, and other functions needed for clinical care.
- Manage data entry and information within EMR, including patient profiles and panels.
- Input relevant health information into the EMR and communicate effectively with the care team.
- Create and maintain client profiles in EMR and social data systems.
- Conduct medical history interviews for triage and care pathways.
- Assist primary care practitioners in daily clinical care.
- Perform administrative tasks and data entry.
- Ensure cleanliness and sterilization of beds and instruments following best practices.
- Prepare examination rooms and maintain medical supplies and equipment.
- Manage inventory and laundry as needed.
- Obtain reports, diagnostic results, and health records from external providers.
- Provide administrative support to staff regarding operational procedures.
- Collaborate with a multidisciplinary team including nurse practitioners, physicians, social workers, and other professionals.
- Support care provision at The Alex clinics alongside the allied health team.
- Facilitate best practice clinical care through team collaboration.
- Assist with data collection and entry as directed.
- Perform other duties as required.
Qualifications and Experience
- Medical Office Assistant Certificate.
- Minimum two years’ experience in a medical office environment.
- Knowledge of medical terminology.
- Experience with sterilization techniques and autoclaves is an asset.
- Excellent computer skills.
- Basic physical assessment skills, including measuring vital signs.
- Ability to manage conflicting priorities and attention to detail.
- Strong communication skills.
- Commitment to working with individuals with mental illness and addictions.
- Proficiency in health promotion and illness prevention.
- Ability to build rapport with marginalized individuals.
- Ability to work independently and in a team.
- Familiarity with evidence-based practices is an asset.
- First Aid and CPR certification within 30 days of hire (valid for at least 6 months).
- Satisfactory criminal record clearance for community health roles.
- Knowledge of the Truth and Reconciliation Commission of Canada: Calls to Action is an asset.
Work Environment and Hours
- Location: 2840-2 Ave SE, Calgary, Alberta.
- 1.0 FTE (37.5 hours/week).
- Hours: 10:00 am to 6:00 pm, Monday to Friday.
- Extended periods of sitting, with standing and walking as needed.
