Medical Administration Coordinator & Assistant

The salary range for this position is CAD $29.31/Hr. - CAD $38.47/Hr.

Come work as a Medical Administration Coordinator & Assistant with Vancouver Coastal Health (VCH)!

Reporting to the Senior Medical Director and the Executive Assistant/Office Coordinator, the Medical Administration Coordinator & Assistant provides administrative support to Medical Directors, coordinates medical staff recruitment, credentialing, reappointment, and assists with physician complaints. Maintains staff records, produces documents, and attends meetings. Primary relationships include Medical Directors, Department Heads, Credentials Committee, staff and locum physicians, Risk Management, and other health authorities.

Responsibilities include:
  • Providing administrative assistance to senior medical staff and supporting committees, ensuring confidentiality and professionalism.
  • Coordinating credentialing, reappointment, and dues collection, liaising with relevant parties.
  • Maintaining staff records and generating reports.
  • Supporting physician recruitment, including advertising, interviews, and orientation.
  • Assisting with physician complaints, gathering information, and referring to Risk Management.
  • Producing reports, correspondence, and presentation materials.
  • Monitoring budgets such as Physician Education Funds and Medical Staff Funds.
  • Coordinating meetings, preparing agendas, minutes, and follow-up actions.
  • Liaising with medical staff, departments, and external organizations to follow up on issues.
Education & Experience
  • Diploma in a related field plus 3-5 years' recent experience in a healthcare environment supporting senior management, or an equivalent combination.
  • Advanced skills in word processing, spreadsheets, databases, and presentations; typing speed of at least 60 w.p.m.
Knowledge & Abilities
  • Judgment, tact, and discretion handling confidential information.
  • Professional communication with senior leaders and external contacts.
  • Strong investigative, analytical, and time management skills.
  • Proficiency in computer applications and thorough data entry and reporting skills.

All healthcare workers must report vaccination history as per Ministry of Health policy, including providing records during onboarding.
