Job summary

American Iron & Metal (AIM) is hiring a Mechanical Project Coordinator to support planning, coordination, execution, and closeout of mechanical and industrial projects under the Engineering Manager.

You will gather requirements, develop schedules in MS Project, prepare cost estimates, tender packages, and coordinate with contractors and suppliers. Travel to sites in Canada and the U.S. may be required.

Qualifications

  • Bachelor’s degree or advanced diploma in mechanical/industrial engineering or related field.
  • 1–3 years of experience in mechanical/industrial, manufacturing, construction, or maintenance projects.
  • Co‑op or internship experience will be considered.
  • Valid Class G Driver's License with a clean driving record.
  • Proficiency with MS Office, MS Project, and AutoCAD.

Responsibilities

  • Assist in gathering project requirements, initiate documents, and define scopes of work.
  • Develop and maintain project schedules using MS Project.
  • Prepare cost estimates, budget forecasts, and cost analyses for projects.
  • Prepare tender packages, RFQs, and scopes of work for mechanical/construction projects.
  • Coordinate procurement, contractors, suppliers, and service providers.
  • Monitor site activities and provide status updates to Engineering Manager.
  • Ensure compliance with health, safety, regulatory, and company standards.
  • Travel to AIM facilities in Canada and the U.S. as required.

Job Description

The Mechanical Project Coordinator is an entry level position that supports the planning, coordination, execution, and closeout of mechanical and industrial projects under the guidance of the Engineering Manager.

What You Will Be Responsible For:

  • Assist in gathering project requirements and preparing project initiation documents, project charters, and detailed scopes of work.
  • Develop, maintain, and update project schedules using Microsoft Project (MS Project).
  • Prepare construction cost estimates, budget forecasts, quantity take-offs, and project cost analyses for capital and maintenance projects.
  • Prepare conceptual, preliminary, and detailed construction cost estimates; review contractor quotations; perform bid analysis; and provide recommendations to support project budgeting and procurement decisions.
  • Prepare tender packages, bid requests, requests for quotation (RFQs), and scopes of work for mechanical and construction projects.
  • Source, evaluate, and coordinate contractors, suppliers, consultants, and service providers.
  • Coordinate procurement activities, including equipment and material purchasing, vendor quotations, bid evaluations, and contract administration.
  • Conduct site visits, inspections, and progress reviews while providing regular project status updates to the Engineering Manager.
  • Monitor project execution to ensure compliance with health and safety regulations, environmental requirements, engineering standards, and company policies.
  • Review contractor performance, identify project risks, and assist in resolving technical, operational, and scheduling issues.
  • Support project budgeting, cost tracking, forecasting, change management, and project controls.
  • Coordinate project meetings, maintain project documentation, and prepare weekly and monthly progress reports.
  • Assist with equipment commissioning, startup activities, testing, and project closeout documentation.
  • Coordinate with internal stakeholders, operations personnel, and external consultants to ensure successful project delivery.
  • Complete technical reviews of industrial equipment including reviewing schematics, electrical & hydraulic drawings
  • Create technical equipment comparisons of different manufacturers and models, to highlight key differences
  • Work with regulatory bodies to achieve approvals such as ESA, TSSA, etc.
  • Assist with coordinating equipment PSRs in accordance with Section 7 of the Industrial Establishments Regulation
  • Collect requirements from AIMs maintenance team and work with suppliers to ensure new equipment are designed for maintainability
  • Create purchase orders & service requests using IBM Maximo
  • Travel to AIM facilities and project sites across Canada and the United States, as required
Qualifications

Education & Experience

  • Advanced Diploma or bachelor’s degree in mechanical engineering, Mechanical Engineering Technology, Industrial Engineering, or a related field.
  • 1–3 years of experience in mechanical, industrial, manufacturing, construction, or maintenance projects.
  • Co-op or internship experience will be considered.
  • Experience coordinating contractors and vendors is an asset.
  • Valid Class G Driver's License with a clean driving record.
  • Basic understanding of mechanical systems, industrial equipment, piping, conveyors, material handling systems, and maintenance practices.
  • Knowledge of project management principles, construction practices, and contractor coordination.
  • Strong organizational, multitasking, and time-management skills.
  • Excellent verbal and written communication skills.
  • Ability to work in a fast-paced environment and manage multiple priorities.
  • Ability to read and interpret engineering drawings and technical documents.
  • Proficiency with Microsoft Office Suite, Microsoft Project, and AutoCAD.
  • Knowledge of health and safety regulations within industrial or construction environments.
  • Strong problem-solving and analytical skills.
  • Willingness and ability to travel, including occasional travel to the United States.
