Job description

The Logistic Site Assistant plays a key administrative and financial support role within the logistics operation. This position is responsible for ensuring the smooth execution of day-to-day administrative tasks, supporting financial planning and control, and maintaining compliance with internal procedures and external regulations.

Administrative & Operational Support

  • Provide comprehensive administrative support to the Site Manager and leadership team to streamline internal processes and support decision-making.
  • Manage site documentation, employee records, and internal communications to ensure operational continuity.
  • Serve as the primary point of contact for internal and external stakeholders, including vendors, agencies, and visitors.

Finance & Budgeting

  • Assist in the preparation, monitoring, and control of site budgets and forecasts.
  • Process and verify purchase orders and supplier invoices in accordance with company procedures.
  • Support financial reporting by preparing budget variance reports, identifying discrepancies, and recommending corrective actions.

Reporting & Compliance

  • Compile and analyze key performance indicators (KPIs) related to staffing, invoicing, and budget performance.
  • Ensure compliance with safety, quality, and environmental standards, supporting audits and certification processes.
  • Maintain accurate records and contribute to continuous improvement initiatives, including 5S and Good Quality Practices.

Required Skills & Qualifications

  • Education: Post-secondary diploma or equivalent experience in business administration, logistics, or finance.
  • Experience: 1–2 years in an administrative or finance-related role, preferably in a logistics or warehouse environment.
  • Technical Skills:
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Familiarity with accounting principles and financial documentation.
  • Experience with ERP or logistics management systems is an asset.
  • Strong organizational and planning abilities.
  • Excellent communication and interpersonal skills.
  • Analytical mindset with attention to detail.
