Responsibilities

Client Relationship Management

  • Develop and maintain strong client relationships, ensuring a seamless and positive real estate experience.
  • Respond promptly and professionally to inquiries, delivering exceptional service throughout the transaction process.

Appointment Coordination

  • Schedule and confirm property showings, inspections, closings, and other essential appointments.
  • Facilitate clear communication among all stakeholders to ensure efficiency and organization.
  • Prepare, review, and manage contracts, agreements, and real estate documents with precision, ensuring compliance with Edmonton’s real estate regulations.
  • Maintain accurate and up-to-date documentation for seamless transactions.

Transaction Management & Record Keeping

  • Keep detailed records of transactions, communications, and client interactions.
  • Monitor key deadlines, ensuring timely completion of all necessary documents and disclosures.

Administrative & Office Support

  • Provide comprehensive administrative assistance, including data entry, document management, and office coordination.
  • Support the team in daily operations, fostering an organized and efficient work environment.

Marketing & Listing Support

  • Assist in developing and managing marketing materials, including property descriptions, photography, and online listings.
  • Ensure all property listings remain updated, accurate, and well-positioned across relevant platforms.

Property Showings & Open House Coordination

  • Organize and oversee property showings, open houses, and virtual tours to enhance the client experience.
  • Handle event logistics efficiently, ensuring a seamless viewing process for buyers and sellers.

Transaction Coordination & Communication

  • Serve as a liaison between clients, lenders, inspectors, and other real estate professionals.
  • Facilitate clear and proactive communication to prevent and resolve potential issues.

Deadline & Timeline Management

  • Monitor critical deadlines throughout transactions, ensuring timely task completion.
  • Collaborate with all parties to facilitate smooth and on-time closings while adhering to industry standards.

Problem-Solving & Issue Resolution

  • Anticipate and address challenges that may arise during the transaction process.
  • Work proactively to develop practical and effective solutions, keeping deals on track.

Legal & Regulatory Compliance

  • Ensure full adherence to local, provincial, and federal real estate laws and regulations.
  • Uphold the integrity of all transactions through strict compliance and ethical conduct.

Professionalism & Ethical Standards

  • Maintain the highest level of professionalism, discretion, and client confidentiality.
  • Represent The Bagga Team and Royal LePage Magna with integrity, fostering long-term client trust.
Qualifications
  • Active Real Estate License – A valid Real Estate License in Edmonton, AB, Canada is mandatory for this role. This ensures compliance with industry regulations and enables the execution of real estate duties within the region.
  • Relevant Experience – Prior experience in real estate, property management, client relations, or administrative support is preferred. Candidates with a strong background in organization and customer service will be highly regarded.
  • Exceptional Organizational & Multitasking Abilities – The role demands the ability to effectively manage multiple tasks, prioritize responsibilities, and coordinate schedules in a fast-paced environment. Strong time management skills and keen attention to detail are critical.
  • Outstanding Communication Skills – Excellent verbal and written communication is essential for professional interactions with clients, team members, and industry partners. The ability to convey information clearly and effectively will enhance client relationships and ensure seamless transactions.
  • Technological Proficiency – Proficiency with Microsoft Office Suite, MLS systems, CRM software (Follow Up Boss, Paragon), and other real estate technology platforms is required. The ideal candidate should be comfortable utilizing digital tools for scheduling, reporting, and transaction management.
  • Team-Oriented & Self-Motivated – While independence and self-drive are key, collaboration within the team is equally crucial. The ideal candidate thrives in a dynamic, high-energy environment and contributes positively to the team's success.

Compensation

$20,000 – $48,000 + commission & performance bonuses
