Job summary

Amii, the Alberta Machine Intelligence Institute, seeks a Librarian to architect and govern its intellectual capital, ensuring training materials are discoverable, compliant, and preserved. The role spans reference duties to support the Training Team and governance of IP records and archives to protect research outputs.

Qualifications

• Master of Library and Information Science (MLIS) from an ALA-accredited institution.
• 3+ years in a corporate library, digital asset management, or knowledge management role.
• Demonstrable experience in managing copyright, licensing agreements, or patent documentation.

Responsibilities

• Leads the end-to-end design and governance of centralized taxonomies and metadata schemas to ensure world-class discoverability of AI training assets.
• Performs deep-dive audits of the LMS and internal repositories to identify and eliminate content silos and knowledge debt.
• Architects automated tagging workflows that link educational modules to the latest ML research and project outcomes.
• Serves as the primary steward of the Amii IP Register, documenting authorship, patent disclosures, and copyright status for all research.
• Oversees the corporate archival process to ensure long-term preservation of legal agreements and documents.
• Vets third-party educational tools and content for IP compliance and licensing rights prior to procurement.
• Establishes standardized Knowledge Capture protocols to interview ML Scientists and translate tacit knowledge into searchable assets.
• Acts as a cross-functional technical consultant during the design phase of new programs to align content with research.
• Advocates for learners by ensuring archived knowledge is translated into structured formats for the Training Team.

About The Role

The Librarian serves a dual-purpose role: acting as a Reference Librarian to support the Training Team through active research, information retrieval, and content discoverability; and as a Records Librarian for the broader organization, governing Intellectual Property (IP), archival standards, and information compliance. By optimizing the organization, searchability, and transfer of training content, they ensure that Amii’s world-class AI education is accessible and scalable. Simultaneously, they protect Amii’s long-term competitive advantage by managing Intellectual Property (IP) records and corporate archives, ensuring our research and innovations are legally documented and strategically preserved.

The Librarian serves as the strategic architect of Amii’s intellectual capital, operating at the intersection of technical knowledge mobilization and organizational governance. This dual-focus role is essential for maintaining the integrity, discoverability, and competitive value of Amii’s outputs. By partnering with the Training Team, the Specialist ensures that our world-class AI literacy programs are built upon a foundation of structured, searchable, and high-fidelity technical content. Simultaneously, the role acts as a corporate steward for Amii’s intellectual property (IP) and historical records, safeguarding our research innovations and ensuring that all assets—from code repositories to educational curriculum—are legally documented, properly licensed, and strategically preserved. This position is a critical enabler of Amii’s "AI for good and for all" mission, ensuring that our institutional knowledge is not only protected but effectively activated to drive industry impact.

Required Skills / Expertise

Key Responsibilities

• Architects automated tagging workflows that link educational modules to the latest Machine Learning research and project outcomes.
• Serves as the primary steward of the Amii Intellectual Property (IP) Register, meticulously documenting authorship, patent disclosures, and copyright status for all research.
• Oversees the corporate archival process to ensure the long-term preservation of legal agreements and foundational documents.
• Vets third-party educational tools and content for IP compliance and licensing rights prior to organizational procurement
• Establishes standardized "Knowledge Capture" protocols to interview Machine Learning Scientists and translate tacit technical knowledge into searchable assets.
• Serves as a cross-functional technical consultant during the "design phase" of new programs to ensure content alignment with technical research.

Required Qualifications

• Master of Library and Information Science (MLIS) from an ALA-accredited institution.
• 3+ years in a corporate library, digital asset management, or knowledge management role.
• Demonstrable experience in managing copyright, licensing agreements, or patent documentation.
• Proficiency with Digital Asset Management (DAM) systems, SharePoint/Confluence, and metadata standards (e.g., Dublin Core).

Attributes and Expectations

• Advanced proficiency in designing taxonomies, ontologies, and metadata schemas (e.g., Dublin Core, MODS) specifically for digital-first technical organizations.
• Strong understanding of Canadian Intellectual Property law, including copyright, trademarks, and the nuances of open-source licensing (MIT, Apache, Creative Commons).
• Experience managing Digital Asset Management (DAM) systems and collaborative platforms like SharePoint, Confluence, or GitHub.
• Ability to synthesize complex, high-level machine learning concepts into organized, searchable information structures.
• Exceptional ability to build relationships across teams—translating the technical needs of Researchers into the organizational needs of the Training Team.
• Meticulous approach to record-keeping and database management, ensuring data integrity across all corporate archives.
• Ability to manage a 50/50 split in accountabilities, demonstrating high levels of autonomy and the capacity to prioritize competing deadlines from different departments.
• Exceptional communication skills with the ability to translate complex accessibility requirements for non-expert stakeholders.
• High attention to detail, specifically regarding digital document structure and technical compliance.
