As a Legal Assistant (Litigation), you will be:
- Documents
- Preparing, editing, formatting, printing, scanning, and revising correspondence, memoranda, litigation documents, reports, forms, labels, and other printed material through dictation, copy typing, or other instructions, in accordance with the practice group's requirements.
- Coordinating and dispersing tasks to resource groups such as Document Specialists, Administrative Clerks, Billing Assistants, etc., ensuring timely completion.
- Proofreading documents for formatting, spelling, grammar, and clarity.
Litigation
- Assisting lawyers with hearings and trials, including scheduling, court filings, and monitoring court dates.
- Preparing basic court pleadings and courtroom visuals.
- Coordinating service and filing with agencies and courts.
- Managing discoveries, expert witnesses, and court hearings.
- Maintaining knowledge of legal and medical terminology, court rules, and procedures.
File and Time Management
- Managing files, including opening, maintaining, and organizing paper and electronic records.
- Working with Records Management and Administrative Clerks for client files.
- Managing key dates and updating lawyers' calendars.
Lawyer / Client Support
- Coordinating travel arrangements and updating client databases.
- Scheduling client meetings and arranging logistics.
Mail, Fax, and Phone Reception
- Handling incoming/outgoing mail and faxes, screening calls, and responding to inquiries.
Financial and Administrative Functions
- Assisting with time entry, client and matter openings, and coordinating with other departments.
- Providing backup support to team members and working proactively.
Other
- Participating in educational opportunities to maintain and update skills.
- Performing other duties as assigned.
Ideal Candidate Profile:
- Legal Assistant Diploma or equivalent.
- Minimum 3 years of litigation legal assistant experience.
- Deep knowledge of legal terminology, court procedures, and medical terminology.
- Excellent attention to detail and word processing skills.
- Ability to work quickly and accurately under pressure.
- Strong organizational, multitasking, and time management skills.
- Discretion and confidentiality.
- Flexibility to work overtime occasionally.
