THE COMPANY

Our client is a and owner, manager, and developer of commercial real estate across Canada. Their portfolio spans 56 million square feet of leasable space with over 700 properties nationally.

THE ROLE

The Leasing Coordinator will provide day-to-day administrative, marketing, and deal support and assist in facilitating all leasing activities for the broader team, with a focus on the Western region. Reporting to the Director, Industrial Western Leasing.

This position would be ideal for someone who is interested in a career succession plan of moving into a Leasing Representative position in the future.

WHAT'S INVOLVED

  • Providing administrative support, including typing various correspondence, drafting and distributing letters, completing reports, managing deal files, and meeting coordination.
  • Track various documents in circulation between departments, partners, and tenants, including but not limited to lease documents, offers, deal summaries, and documents out for signature.
  • Review monthly leasing reports and ensure reports and VTS are accurate.
  • Collaborate with the leasing team and joint venture partners to ensure that leasing activity is being properly recorded.
  • Process all tenant allowances and brokerage fees for payment as well as track all progressive payments for same.
  • Track all critical dates, contractual waivers, and leasing capital expenditures, and draft corresponding letters for administrative approvals and sign offs.
  • Complete credit checks for potential tenants.
  • Liaison with marketing to implement leasing strategies and populating back-end database (Buildout) with required information.
  • In conjunction with the leasing and marketing teams, create and distribute targeted marketing mailers and/or LinkedIn posts.
  • In conjunction with the leasing team, update and distribute the monthly lease expires report in MailChimp.
  • Answer leasing hot line (calls) and follow up on leasing inquires and distribute accordingly.
  • Assist with developing presentations for internal and external use.
  • Update site plans and the property fact sheets as required.
  • Coordinate leasing conferences and functions.

WHAT'S REQUIRED

  • 2+ years of experience in a similar role within a commercial real estate environment or equivalent;
  • Highly motivated individual with a proactive attitude and a passion for delivering exceptional client service;
  • Strong computer skills with proficiency in MS Office (Word, PowerPoint, Excel, Outlook);
  • Excellent organizational and time management skills with the ability to prioritize various initiatives within a fast-paced, dynamic environment;
  • Superb communication skills, both verbal and written, and a keen attention to detail and accuracy;
  • Ability to work independently and build relationships to work collaboratively at all levels;
  • Experience with JDE or equivalent software is preferred;
  • Proficiency with lease documents, lease review, and drafting experience is considered an asset;
  • Relevant marketing experience and/or skills in Adobe Illustrator and/or InDesign is considered a strong asset.
