Job description

Location:

The Leasing Coordinator, Industrial, will provide day-to-day administrative, marketing, and deal support and assist in facilitating all leasing activities for the broader team, with a focus on the Western region. Reporting to the Director, Industrial Western Leasing, the Leasing Coordinator will be responsible for:

Responsibilities

  • Providing administrative support, including typing various correspondence, drafting and distributing letters, completing reports, managing deal files, and meeting coordination.
  • Track various documents in circulation between departments, partners, and tenants, including but not limited to lease documents, offers, deal summaries, and documents out for signature.
  • Support the Industrial team with View The Space (VTS) from set up to inputting, updating and completion (Lease execution).
  • Review monthly leasing reports and ensure reports and VTS are accurate.
  • Collaborate with the leasing team and joint venture partners to ensure that leasing activity is being properly recorded.
  • Process all tenant allowances and brokerage fees for payment as well as track all progressive payments for same.
  • Track all critical dates, contractual waivers, and leasing capital expenditures, and draft corresponding letters for administrative approvals and sign offs.
  • Distribute, scan, organize and maintain all lease related documents including to the electronic filing system (M-files).
  • Complete credit checks for potential tenants.
  • Liaison with marketing to implement leasing strategies and populating back-end database (Buildout) with required information.
  • In conjunction with the leasing and marketing teams, create and distribute targeted marketing mailers and/or LinkedIn posts.
  • In conjunction with the leasing team, update and distribute the monthly lease expires report in MailChimp.
  • Answer leasing hot line (calls) and follow up on leasing inquiries and distribute accordingly.
  • Assist with developing presentations for internal and external use.
  • Update site plans and the property fact sheets as required.
  • Coordinate leasing conferences and functions.
  • Other functions as required to facilitate the smooth operations of the leasing department.

Qualifications

  • 2+ years of experience in a similar role within a commercial real estate environment or equivalent;
  • Highly motivated individual with a proactive attitude and a passion for delivering exceptional client service;
  • Strong computer skills with proficiency in MS Office (Word, PowerPoint, Excel, Outlook);
  • Excellent organizational and time management skills with the ability to prioritize various initiatives within a fast-paced, dynamic environment;
  • Superb communication skills, both verbal and written, and a keen attention to detail and accuracy;
  • Ability to work independently and build relationships to work collaboratively at all levels;
  • Exhibits Choice Properties’ CORE values and Blue culture to deliver results;
  • Experience with JDE or equivalent software is preferred;
  • Proficiency with lease documents, lease review, and drafting experience is considered an asset;
  • Relevant marketing experience and/or skills in Adobe Illustrator and/or InDesign is considered a strong asset.
