ABOUT US

Van Dusen Law is a small, busy Ontario-based litigation boutique physically located in Russell, Ontario (immediately east of Ottawa). We practice in all areas of civil, commercial, and construction litigation, including insurance-related proceedings and plaintiff personal injury matters.

POSITION

This is a full-time position, located in Russell. As a senior Law Clerk / Practice Assistant, you are professional, discreet, self-motivated. You are highly organized, detail-oriented, able to meet tight deadlines, and comfortable working in a dynamic and collaborative team environment requiring you to multi-task and manage priorities daily.

RESPONSIBILITIES

What are we looking for in a law clerk/practice assistant?

Generally:

  • excellent computer skills and the capacity to work without paper (we are paperless and use multiple software programs to work and manage the practice);
  • a minimum of three (3) years experience as an law clerk, paralegal, or executive assistant, engaged in civil litigation;
  • strong written and communication skills (you are the type to pick up the phone and call someone without being told to do so);
  • strong familiarity of Federal and Ontario Courts’ Rules; and
  • initiative and the ability to work independently but recognize when your colleagues need help and just pitch in.

More specifically, you will be responsible for:

  • electronically compiling, OCRing, bookmarking, and hyperlinking various documents, including e-mails, records, briefs and court documents using Adobe Acrobat;

electronically uploading and organized documents Case Center;

  • serving and filing court documents using the Justice Services Online portal;
  • organizing and filing information, opening and closing files, drafting confidential written communications, memos to file, records of calls, and reporting letters;
  • entering, managing, and verifying electronic database information;
  • communications, including externally with lawyers, clients, and witnesses, along with managing all scheduling matters and travel arrangements as required;
  • drafting legal documents and conducting file/legal research;
  • assisting with answering incoming telephone calls and emails;
  • performing other administrative and general office duties as required.

An ideal candidate would also have:

  • experience using electronic customer management systems (CRMs), such as CosmoLex, Clio, and/or iManage;
  • expert-level abilities with Adobe products (including Acrobat) and Microsoft Office (including Outlook, Word, Excel, and SharePoint);
  • experience with or a willingness to learn generative AI platforms;
  • fluency in both English and French, written and oral.
