Job summary

The Union of Ontario Indians is seeking two full-time Program Coordinators to support Lands and Resources. These onsite roles will work at the Nipissing First Nation head office and at Thunder Bay or Fort William satellite offices, coordinating work plans and engaging First Nations, governments, agencies, and partners.

Responsibilities include planning meetings, preparing agendas and minutes, tracking actions, and assisting with budgets while maintaining thorough project records.

Qualifications

  • Degree or Diploma in Natural Resources, Environmental Studies, Indigenous Studies, or related discipline, or equivalent combination of education and experience.
  • Minimum two years’ experience coordinating programs or projects with multiple stakeholders.

Responsibilities

  • Plan, coordinate, and implement project work plans and activities that support Lands and Resources priorities.
  • Coordinate planning, organization and delivery of meetings, workshops, engagement sessions and events.
  • Provide administrative support: agendas, minutes, action tracking, inquiries.
  • Assist with budget expenditures and processing for Lands and Resources.
  • Liaise with First Nations, government agencies, and partners to support initiatives.
  • Communicate with leadership and the public regarding programs and activities.
  • Maintain project records and documentation for Lands and Resources.
  • Coordinate briefing materials, presentations, updates, and communication resources.
  • Update communications to leadership and citizens through sessions and resources.
  • Attend in-person meetings and provide real-time support to leadership.
  • Other duties as assigned.

WORKSITE LOCATION: One position to work onsite at the Union of Ontario Indians Head Office (Nipissing First Nation), and one position to work onsite at the Thunder Bay or Fort William First Nation satellite office.

The Program Coordinator is responsible for providing coordination support on various initiatives of the Lands and Resources Department. This position reports to the Lands and Resources Manager and plays a key role with the Lands and Resources Team to ensure the effective implementation of various work plans. The Program Coordinator will develop and maintain good working relationships with all First Nations, governments, agencies, associations, and associates of the Anishinabek Nation.

Responsibilities
  • Plan, coordinate, and implement project work plans and activities that support the Lands and Resources Department priorities;
  • Coordinate the planning, organization and delivery of internal and external meetings, workshops, engagement sessions and special events;
  • Provide administrative support by preparing agendas, recording meeting minutes, tracking action items, and responding to general inquiries;
  • Assisting the budget expenditures, expenditure processing, for the Lands and Resources Department;
  • Liaising with Anishinabek First Nations, government agencies, and other partners to support the departmental initiatives;
  • Communicating with Anishinabek First Nations, Chief and Councils, or the public regarding departmental programs and activities;
  • Maintain accurate project records and documentation related to the Lands and Resources program areas;
  • Support Lands and Resources Policy Analysts and the Manager by coordinating and distributing briefing materials, presentations, updates, and other communication resources;
  • Coordinating ongoing updates and communications to Anishinabek Leadership and citizens through engagement sessions, or providing resources such as Briefing Notes, Updates, presentations, etc.;
  • Attending in-person meetings (assemblies, conferences, etc.) and providing real-time support to the Lands and Resources Manager, Leadership, etc;
  • Other duties as assigned.
Qualifications
  • Degree or Diploma in Natural Resources, Environmental Studies, Indigenous Studies, or related discipline, or equivalent combination of education and experience;
  • Minimum two (2) years’ experience in coordinating programs or projects, including organizing meetings, workshops, conferences and engagement activities involving multiple stakeholders;
  • Working knowledge of lands, natural resources, environment, and aspirations and current events related to First Nations affairs;
  • Experience in building and maintaining collaborative working relationships with First Nations, government agencies, and external partners;
  • Proficiency in Microsoft 365 applications (Outlook, Word, Excel, PowerPoint, Teams), virtual meeting platforms, document management systems, and other relevant software, with the ability to quickly learn new technologies and systems.; and
  • Must possess a valid Ontario Driver’s License, be insurable under the organization’s vehicle insurance policy, and be willing and able to travel regularly for work-related events, meetings, and other duties as required.
