LAND DEVELOPMENT COORDINATOR
REPORTING TO: Director of Development
PURPOSE:
This role is to support the development of the Company’s raw landholdings, commercial redevelopment sites, and existing infrastructure to grow the Company’s Development Division. This role will help the company's long-term growth goals by ensuring the highest and best use of undeveloped lands, commercial, and residential development sites.
Responsibilities:
The Land Development Coordinator assists in all aspects of development (land, commercial, high-rise and low-rise residential and mixed-use) projects, including acquisitions, visioning, planning approvals, detailed design, subdivisions, and overall budgeting, scheduling, and financial reporting.
In this role, you will:
- Be responsible for supporting the development team with coordinating, researching, discovering, source tracking and processing information.
- Support the Director, Development in day-to-day project management of files at various stages of the development lifecycle, from acquisition, conceptual design and planning approvals, construction, through to registration and assumption.
- Obtain development approvals in property acquisition, subdivision, zoning, condominium, site plan approvals and building permits.
- Review and analyze DTR comments from municipal authorities on outline plans, land use applications, and site plans.
- Lead CPC and Council strategy calls to ensure preparation for CPC/Council.
- Coordinate consultants for creation of Biophysical Impact Assessments (BIA), Staged Master Drainage Plans (SMDP), Environmental Site Assessments (ESA), and Traffic Impact Assessments (TIA).
- Conduct financial analysis including land proformas and scenario analysis for different land development projects.
- Manage a limited partnership agreement, coordinating unit sales for units of interest between LP partners. Additionally, ensure cash calls and meetings, taking minutes are all done effectively.
- Coordinate proposals for landlords’ construction work with the Commercial department.
- Track and manage CCC and FAC approvals for subdivision construction.
- Work directly with City officials and consultants in resolving construction related issues.
- Effectively liaise with consultants, municipal staff, and other external stakeholders to obtain information and meet or exceed schedule expectations for development applications.
- Assist in preparation of property research, such as planning reviews.
- Liaise with internal departments for project status updates.
- Be responsible for project reporting, including monthly/quarterly budget and schedule updates.
- Develop and maintain a cashflow projection system to ensure Finance is aware of the development cashflow requirements monthly.
- Manage invoice processing and contract tracking to align with project budgets.
- Create and maintain a master schedule system to monitor project schedules and keep consultants working within projected timelines.
- Review, track, and provide updates on overall project budgets with each functional group to facilitate performance monitoring and forecasting.
- Assist with the clearance of conditions of draft approval, including coordination of consulting teams undertaking detailed engineering design.
- Assist in the preparation of legal documents related to development applications/agreements, condominium documents, consultant contracts, and other areas as required.
- Sufficiently and accurately prepare agendas and minutes for internal and consultant meetings, track project progress, and ongoing responsibilities and deadlines.
- Review and summarize various technical documents—planning, engineering, legal, financial, etc.—to evaluate concerns and opportunities, and assist in their preparation and revision.
- Deposit refunds for damage deposits on lot sales after construction is completed. Assist in preparing reports on relevant industry issues and project-related issues at City Council, Community Council, Committees of Council, and Public Meetings, and take actions on findings.
- Work with the Development team and assist with general administration as required; perform other duties within the scope, spirit, and purpose of the job as requested by management.
- Conduct and attend site visits to assess construction-related progress and planning items, as required.
