Job Description

As an invoicing specialist, the primary role and responsibilities for this position will be to update, input, manage, and validate all data loaded into the CRM system (Pipedrive). This position also requires preparation of bank reconciliation, accounts receivables, and general office assistance as required. The ideal candidate will be detail-oriented, organized, and self-motivated.

Some Of What You'll Do

• Ensure accurate project data entry across multiple platforms including the Sales CRM tool, production management software, and Excel sheets
• Track and record all CRM invoicing data in full detail
• Manage accounts receivable process
• Review client billings and ensure proper billing amounts; reconcile, respond to client questions, and resolve discrepancies; prepare invoice corrections
• Send weekly invoices to clients via QuickBooks Online
• Input customer and account data from source documents within specified time limits
• Review data for deficiencies or errors, correct incompatibilities, and verify outputs
• Verify entered customer and account data by reviewing, correcting, deleting, or re-entering as needed
• Follow policies and procedures to maintain operations and report needed changes
• Maintain confidentiality to protect customer confidence and company operations
• Respond to information requests and access relevant files
• Comply with data integrity and security policies
• Ensure proper use and maintenance of office equipment and report malfunctions

What You Bring

• 1-2 years of work experience in a similar role
• Bachelor's degree in Finance or Accounting is an asset
• Proficiency in QuickBooks Online, MS Office, Excel, Google Sheets
• Experience with Pipedrive is an asset
• Attention to detail and ability to follow standard procedures
• Open to feedback and adaptable
