Job summary

Daikin Applied Vaughan, ON is seeking a Service Coordinator to help schedule, dispatch and support HVAC field technicians, while ensuring clear communication with customers and internal teams.

You will manage timekeeping, invoicing, warranty processing, and documentation in our ERP system, with emphasis on accuracy, responsiveness, and safety compliance.

Qualifications

• High School Diploma or GED
• 2-4+ years of related experience in amechanical, electrical, or plumbing service field
• Bachelor's degree may be considered in lieu of work experience
• Experience working with HVAC Technicians (preferred)
• Experience with Astea and/or any other service tracking software
• Proficient knowledge of Microsoft Office Suite

Responsibilities

• Schedule and dispatch technicians for jobs (startups/repairs, warranty, maintenance)
• Handle customer inquiries and route technical questions to the appropriate resource
• Track time and attendance for technicians
• Coordinate job startups and maintain communication with the customer regarding scheduling and follow-up
• Invoice and bill customers
• Assist in local office AP/AR functions and follow up on payments
• Coordinate warranty administration, parts orders, and track shipments
• Answer phones and greet customers professionally
• Assist new hires with I-9 and onboarding paperwork
• Maintain OSHA logs
• Enter information into ERP system (work orders, customer data, technician hours)
• Ensure timely close-out on all work orders and related paperwork
• Gather prevailing wage data and report hours for PW jobs
• Maintain office equipment filing (copier, phone, fax)
• Provide notification of Workers Compensation claims to insurer
