Job summary

Carmichael Engineering Ltd. is seeking a diligent HVAC Project Coordinator to support the Project and Engineering services teams in all phases of project delivery in Calgary.

The role focuses on tendering, planning, execution, and closeout activities across HVAC, plumbing and related systems. You will assist with shop drawings, submittals and engineering calculations, coordinate with suppliers and field staff, and help ensure projects stay on schedule and on budget.

Qualifications

• 1+ years of experience in Project Coordination in HVAC, plumbing, hydronics, etc.
• A college or university degree in a related field (Mechanical Engineering or similar).
• Ability to travel to job sites as needed to support the Project Engineer.

Responsibilities

• Assist in tender review and ensuring tender tasks are completed before due dates.
• Support opening, kick-off, planning and execution of projects with engineering teams.
• Prepare shop drawings, design drawings and calculations for review.
• Manage project scheduling, progress reports and status updates.
• Record meeting minutes and prepare safety plans and procedures.
• Supervise onsite activities and complete work quality inspections.

Hvac Project Coordinator

Description

The Project Coordinator provides support to the Project and Engineering services department in all aspects of the project cycle and plans including:

Project Tendering

• Reviewing requirements of tenders
• Helping to ensure the project tender tasks are completed before the tender due date
• Reviewing the tender before sending it to ensure all sections are covered and meeting the requirements
• Helping with the material/equipment selection, pricing and ensures the accuracy of the details
• Assisting in visiting project sites

Project Opening & Kick-Off

• Open a construction file internally with all administration records
• Assisting in ordering material and equipment

Project Planning & Execution

• Preparing shop drawings and submittal packages
• Prepare design drawings and details
• Prepare engineering calculations and details for review with engineering team members
• Assisting with project scheduling and report preparations
• Preparing project reports and status updates
• Record meeting minutes
• Prepare project safety plans, method of procedure documentation and customer specific forms
• Supervise onsite activities and complete work quality inspections
• Complete progress billing requests

Project Completion & Closeout

• Prepare and track project punch lists
• Prepare redline and as-built drawing records
• Prepare closeout and operation-maintenance documentation
• Review and track warranty items
• Turnover project information to service and sales departments

Requirements

• 1+ years of experience in Project Coordination in a related industry. (Hvac, Plumbing, Hydronics, etc.)
• A college or universty degree in a related field (Mechanical Engineering or similar)
• Ability to travel to job sites as needed to support the Project Engineer
