Payroll Assistant

Job Summary:

Sorts and organizes all payroll change forms, employee information changes and benefit forms. Manages the Bring Forward Payroll system for all payroll changes. Calculates and enters payroll and benefits information into a computerized payroll system, and verifies output. Generates, balances and distributes a variety of payroll and benefit reports, cheque advices, and statistical summaries.

Duties & Responsibilities:

  1. Receives, sorts and distributes all payroll change forms and benefit forms.
  2. Gathers information, calculates and enters payroll and benefit entries including CVA, TPHD, Overtime, Dental, New Hires, Increments/Merit increases, PC and Fitness Equipmentpurchases, Sick leave and Vacation time taken and adjustments. Verifies and checks entries.
  3. Manages the monthly increment process for in-scope employees.
  4. Responds to inquiries from staff concerning payroll or redirectsto other team members.
  5. Maintains the WCB Claim process, Union Leave process and JJEC process.
  6. Produces the payroll advices and distributes to employees with all adjustment information copied to the employee.
  7. Manages the Bring Forward system for all payroll changes.
  8. Balances vendor reports and prepares cheque advices to vendors.
  9. Maintains all employee personnel and payroll files and files bi-weekly payroll documents.
  10. Prepares month-end, quarterly and yearly reports including reconciliations.
  11. Organizes work priorities to meet bi-weekly and other deadlines.
  12. Maintains knowledge of payroll guidelines and payroll computer system.
  13. Documents and updates procedure manual and forms as required.
  14. Provides back-up for Payroll Administrator as required.

Qualifications:

Two (2) years post-secondary education, including payroll classes and financial accounting classes and office education.

Supplemented with one (1) year successful experience demonstrating the ability to do the following:

  • Payroll calculations, including pay adjustments, overtime, overpayments, increments and tax calculations.
  • Generate financial information into spreadsheets – including reports and statistical summaries.
  • Typing speed of 35 net words per minute.
  • A proven ability to organize work and complete assigned tasks efficiently, accurately and within established deadlines.
  • Proven ability to follow policies and procedures including Canadian Revenue Agency (CRA), labour legislation, Canadian Payroll Association (CPA) guidelines, benefit policies and the collective agreement.
  • Demonstrated sound judgment and a high level of clerical ability.

Salary:

$50,905.40 - $64,965.68 per year
