Summary
The department is responsible for managing electronic and hard copy files for over 28,000 employees, over 270 stores and over 60 pharmacies. Our weekly average transactions can range from 500 – 1300 per week. Our Team has 5 team members supporting the stores, pharmacies and office employees.
This position is responsible for the processing of employee master data changes in a timely and accurate manner within an assigned territory. The Human Resources Coordinator is also responsible for acting as a liaison between Store Management, the Human Resources and Payroll department. The role includes running weekly reports to ensure master data changes are communicated accurately to the Pensions, Benefits, and Payroll departments, as well as the various union offices.
Specific Responsibilities
- Daily processing of various employee master data changes against the language within our 35+ union collective agreement and our non-union employee reference guidelines, such as: new hires, terminations, status and location changes, salary adjustments (over 100 payrate scales), promotions, demotions, address changes, etc. This equates to approximately 100 – 250 transactions per Human Resources Coordinator within a limited timeframe of 4 days a week as, the system is not available 1 day a week to run the payroll
- Ensure master data changes are in compliance with the terms of the particular Collective Agreement and the Company’s internal audit procedures.
- Print, sort, label, setup and maintenance of both electronic and hard copy files for store and pharmacy employees in accordance with government legislation, Company Policies and the respective Collective Agreement.
- Weekly review of various payroll reject reports. Follow-up as required to ensure paperwork is received in a timely manner and hours are re-submitted for processing.
- Support client group with all vacation entitlement inquiries based on union collective agreement and our non-union employee reference guidelines
- Daily responsibility to act as a Liaison between Store Management, Human Resources and Payroll department.
- Responsible for manually calculating and submitting weekly relief pay for eligible employees based on each store’s collective agreement language prior to weekly deadline.
- Responsible for keeping accurate records for all Employment Standards and Collective Agreement leave of absences (i.e. maternity, parental, personal, etc.). Constant follow ups for extensions and expected return to work dates, including issuing registered letters.
- Responsible for keeping accurate records for all Immigration paperwork according to Immigration legislation and guidelines. This task is of high importance as there can be fines attached to improper records. Constant follow ups for extensions and expected return to work dates, including issuing registered letters.
- Upon request, issue letters of employment to employees in support of third party requests (i.e., mortgage applications, loan applications, immigration paperwork, etc.). Confirmation of employment may later be required by these parties.
- Generation of reports on a weekly basis through SAP and distribution to various departments as required (i.e. Store/Pharmacy, Union, etc)
- Weekly review of various audit reports to ensure master data integrity.
- Responsible for timely responding to all non-customer accident or injury Lawyers letters, collecting fees, gathering information from multiple departments and independently drafting the response and releasing all information requested with the proper consent from the employee.
- Upon request from the H.R. Field Managers, research employment information as required.
- Assist HR Supervisor/Manager with departmental projects as required.
Qualifications
- University/College courses in Human Resources Management an asset
- 1 – 3 years relevant work experience
- Must have a good working knowledge of MS Office Suite (Outlook, Word, Excel)
- Must be able to prioritize and multi-task, as the incumbent must adhere to strict deadlines with constant telephone interruptions while meeting the department standards in responding to all inquiries within 48 - business hours
- Must be able to problem-solve and work independently while working in a fast paced environment including working from home
- Must be able to work with a very high-volume of paperwork with daily and weekly deadline while maintaining accurate confidential files
- Ability to interpret, understand and apply Collective Agreements, Company policies and relevant Government legislation including knowledge of PIPEDA
- Experience with SAP-HR and/or Fiori-SAP is an asset
