Job description

Job Description

Reporting to the Senior Manager, HRIS, the HRIS Analyst (Payroll, Absence & Time Tracking) will support the ongoing configuration, enhancement and optimization of Workday Payroll, Absence and Time Tracking modules. The successful candidate will play a key role in optimizing Workday functionality, driving continuous improvement initiatives, and delivering scalable solutions that enhance the employee experience. This role will work closely with senior business leaders, cross-functional managers, executive leadership and field operations teams, requiring exceptional collaboration and facilitation skills.

This position will be based at our Head Office in Markham, Ontario. Extendicare offers a hybrid working environment.

Key responsibilities include:

  • Configure, maintain and enhance Workday Payroll, Absence and Time Tracking (PATT) modules, ensuring alignment with business requirements, collective agreements and organizational strategy.

  • Act as a key contributor in the development and maintenance of foundational Workday architecture, including pay groups, earning codes, memo codes, vacation rates, time tracking calculations and other payroll-related configurations.

  • Collaborate with Payroll, Labour Relations, HR, IT and Finance stakeholders to review employee transaction processes, address business challenges and implement scalable Workday solutions.

  • Conduct impact assessments on system changes and evaluate potential downstream impacts to business processes, reports, calculated fields, security, integrations and related Workday modules.

  • Identify opportunities to simplify, automate and optimize Workday processes to improve operational efficiency and enhance the colleague self-service experience.

  • Support Workday releases, upgrades and enhancement initiatives through configuration, testing, validation, performance analysis and the evaluation of new functionality.

  • Prepare and maintain technical specifications, test scripts, test results, training materials, process documentation, change requests and knowledge-transfer materials; participate in Change Advisory Board (CAB) activities as required.

  • Respond to escalated ServiceNow tickets, performing root cause analysis to distinguish systemic configuration issues from isolated user or data-related concerns and implement sustainable solutions.

  • Translate findings from ticket analysis into remediation plans, configuration improvements and impact assessments, while identifying trends and opportunities to strengthen overall system integrity and prevent recurrence.

  • Maintain data integrity across Workday and downstream systems, contribute to the ServiceNow knowledge base, and continuously expand Workday expertise through professional development, Workday Community participation and industry best-practice sharing.

  • Complete other duties as assigned.

What we’re looking for:

  • Bachelor's degree in Human Resources, Business, Information Systems or a related field.

  • Minimum 5 years of hands‑on Workday Payroll, Absence and Time Tracking module configuration experience.

  • Demonstrated experience supporting unionized environments and complex collective agreement requirements and configurations (Counters, Wage Progression, Seniority, etc.).

  • Strong troubleshooting, root cause analysis and problem‑solving skills within Workday and integrated HR systems.

  • Advanced Excel skills with experience working with large datasets and performing detailed analysis.

  • Experience supporting Workday testing, releases, upgrades and change management activities.

  • Workday certification and ServiceNow experience are considered assets.

  • Strong communication, documentation and stakeholder management skills.

  • High level of confidentiality and diplomacy.
