The HR Specialist provides advanced support across key human resources functions, including recruitment, onboarding, employee relations, HR policy administration, benefits, HRIS management, and compliance. This role acts as a subject‑matter resource for employees and managers, ensuring consistent application of HR practices and contributing to a positive, compliant, and efficient workplace.
Key Responsibilities
1. Recruitment & Onboarding
- Lead full‑cycle recruitment for assigned roles (job postings, screening, interviews, offers)
- Partner with hiring managers to define job requirements and selection criteria
- Conduct reference checks and coordinate background verifications
- Prepare offer letters and onboarding packages
- Facilitate new hire orientation and ensure completion of all required documentation
- Maintain accurate and compliant employee files
2. Employee Relations & Support
- Serve as a first point of contact for employee inquiries regarding policies, benefits, and HR processes
- Support managers with performance management, coaching, and conflict resolution
- Assist in investigations related to workplace concerns, attendance, or policy violations
- Promote positive employee engagement and support HR initiatives
3. HR Administration & Compliance
- Ensure HR practices comply with provincial and federal employment legislation
- Maintain and update HR policies, procedures, and employee handbooks
- Track probation periods, contract renewals, and other HR deadlines
- Prepare employment letters (confirmation, promotion, disciplinary, etc.)
- Support internal and external audits
4. Benefits & Compensation
- Administer employee benefits enrollment, changes, and terminations
- Respond to employee questions regarding benefits, leaves, and eligibility
- Support compensation reviews and job evaluation processes
- Coordinate disability claims, return‑to‑work plans, and leave management
5. HRIS & Reporting
- Maintain accurate employee data in the HRIS
- Generate HR reports (headcount, turnover, absenteeism, training compliance)
- Support HRMS troubleshooting and elevate technical issues when needed
- Identify opportunities to improve HR processes and data accuracy
Qualifications
- Diploma or degree in Human Resources, Business Administration, or related field
- 3–5 years of progressive HR experience
- CHRP designation (completed or in progress) is an asset
- Strong knowledge of provincial employment standards (e.g., Quebec, Ontario)
- Experience with HRIS systems and MS Office Suite
