Job summary

Mara Renewables Corporation is seeking an HR Administrator to support day-to-day HR operations across the employee lifecycle. You will help with onboarding, HR administration, communications, and workplace operations in a hybrid role based in Dartmouth, Nova Scotia.

Position Summary

The Human Resources Administrator plays an important role in supporting the day-to-day operations of the Human Resources function while helping create an exceptional employee experience. This role provides administrative and operational support across the employee lifecycle, ensuring HR programs, processes, and systems are delivered accurately, efficiently, and consistently.

Working closely with the Vice President, Human Resources, HR Advisor, and Executive Assistant, the Human Resources Administrator supports a broad range of HR activities, including onboarding, HR administration, employee communications, workplace operations, and leadership support. This position is ideal for someone who is eager to begin or grow their career in Human Resources while gaining hands‑on experience across many areas of the profession.

As Mara continues to grow, this role offers the opportunity to develop new skills, contribute to meaningful HR initiatives, and help foster a collaborative, engaging, and people‑first workplace.

This is a Hybrid role (3 days in office, 2 days remote), located in Dartmouth, Nova Scotia.

Key Responsibilities
HR Information Systems & Employee Records
  • Maintain accurate and confidential employee records and HR documentation, including employee files, templates, and forms within the Human Resources Information System (HRIS), ensuring all information remains current, complete, and compliant with company policies and legislative requirements.
  • Prepare HR reports, metrics, and administrative documentation as required.
  • Assist with maintaining and improving HR administrative processes and documentation.
Employee Lifecycle & HR Administration
  • Coordinate onboarding and offboarding activities, ensuring documentation, system access, equipment, and employee setup activities are completed accurately and on time.
  • Prepare onboarding materials and help create a welcoming and engaging experience for new employees.
  • Coordinate the company's mobile device program, including device assignments, inventory management, and vendor communications.
  • Provide day‑to‑day administrative support across the Human Resources function.
  • Learn and effectively utilize HR systems and technology to support evolving business needs.
Employee Experience & Internal Communications
  • Assist with employee engagement initiatives, recognition programs, wellness activities, and culture events.
  • Support employee surveys and feedback initiatives through coordination and administrative assistance.
  • Assist with the preparation and distribution of engaging internal communications, including the monthly employee newsletter, by gathering and coordinating content that celebrates employee achievements, shares company updates, promotes learning opportunities, and highlights organizational initiatives.
  • Support the communication of HR programs, employee events, policy updates, and employee resources.
  • Contribute to HR projects and initiatives that enhance the employee experience and support Mara's people strategy.
Leadership & Workplace Operations

Working Alongside The Executive Assistant, Help Support The Day‑to‑day Operations Of The Senior Leadership Team While Contributing To a Welcoming, Organized, And Productive Workplace By

  • Coordinate business travel, expense reporting, and administrative logistics for members of the Senior Leadership Team, ensuring accuracy, efficiency, and compliance with company policies.
  • Coordinate workplace operations and hospitality, including meeting logistics, shared office resources, workplace amenities, and catering for meetings, remote employees, and visitors, helping create a welcoming and well‑supported employee experience.
  • Provide administrative support for meetings, special projects, and cross‑functional initiatives, contributing to the smooth operation of the HR team and the broader organization.
Qualifications & Experience
Education & Experience
  • Diploma in Human Resources or a related field (completed or in progress), or an equivalent combination of education and relevant experience.
  • Previous administrative, office, or Human Resources experience is considered an asset.
  • Co‑op, internship, volunteer, or student leadership experience is welcomed.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Experience using HRIS platforms such as BambooHR is considered an asset.
