Job summary

Duka Property Management Inc. is seeking a Head Office Administrator to keep the head office running with clarity and precision.

You will be the friendly, knowledgeable voice connecting residents, owners, trades, and property managers, ensuring daily operations move smoothly. The role emphasizes organization, professional communication, and reliable office support, with opportunities for growth within a collaborative team environment at our Mississauga head office.

Qualifications

  • High school diploma completed; post-secondary education preferred.
  • 1–2 years administrative experience, ideally in property management or customer service.
  • Clear communication, time management, and ability to create a positive experience for everyone interacted with.

Responsibilities

  • Look after assigned portfolio of properties.
  • Work closely with Condominium Manager(s) on daily tasks supporting residents.
  • Keep the Office Manager updated and supported on daily operations.
  • Manage incoming emails, correspondence, and calls, responding within 24 hours.
  • Prepare outgoing mail and receive packages at the office.
  • Draft and organize documents for residents, owners, boards, trades, and managers.
  • Maintain filing systems, databases, service agreements, and contractor records.
  • Support fee collection and report outstanding charges.
  • Assist with event planning and preparing meeting packages.
  • Coordinate access for trades and ensure proper handling of keys for units and common areas.

Our Ideal Candidate

What You'll Do
