Job summary

MSF Canada is seeking a Donor Operations Manager to lead end-to-end offline gift processing, ensure donor data accuracy in the CRM, and maintain tax receipting standards. You will drive reconciliation, data quality, and collaborate with Finance and Donor Relations to ensure timely acknowledgements and stewardship.

The role requires strong interpersonal skills, meticulous attention to detail, and the ability to manage multiple projects in a nonprofit fundraising environment.

Qualifications

• Education or training in Fundraising, gift processing, or a combination of training and relevant experience
• Strong interpersonal and communication skills; ability to build relationships with diverse donors
• Detail-oriented and organized
• Capable of managing multiple projects simultaneously
• Experience with Raiser’s Edge / RE NXT or similar CRM
• Familiarity with philanthropic environments or nonprofit fundraising best practices
• Proficient in English
• Must be legally authorized to work in Canada
• Ability to work Monday to Friday, 9:00 a.m. to 5:00 p.m. Eastern Time

Responsibilities

• Manage end-to-end processing of offline gifts, including cheques, wire transfers, share donations, cash gifts, corporate and foundation gifts, and third-party submissions
• Oversee donor record accuracy and gift batch completeness in the CRM
• Ensure proper coding, documentation, and the entire tax receipting process
• Support reconciliation and data quality for online donations
• Serve as primary point of contact for external data-entry partner KCK
• Oversee daily operations, performance standards, and service-level expectations
• Conduct audits to maintain accuracy and compliance
• Maintain and update standard operating procedures
• Support new systems, integrations, and automation initiatives
• Coordinate with Finance on reconciliation and reporting
• Support Donor Relations with acknowledgements and stewardship
• Assist fundraising teams with gift coding and donor inquiries
• Lead hiring and development of team members
• Oversee workload distribution and timely processing of gifts
• Conduct check-ins, performance evaluations, and training
• Manage resources and budget accountability
• Recommend policy and workflow changes
• Collaborate with Fundraising Systems colleagues to ensure clean, usable data
