Funding Administrator - Contract

The Role

A Funding Administrator supports the management of administrative tasks within a commercial funding group. This role involves follow-ups, auditing, investigations, monitoring, and reporting on Commercial Mortgage loans. Responsibilities include processing transactions, record management, preparing correspondence and reports, responding to inquiries, maintaining files, setting up loans on PLM and Portal, and completing post-funding audits for CMHC-Insured and Conventional Mortgages as per servicing agreements.

  • System setup for new loans on PLM, notifying stakeholders accordingly.
  • Coordinate with external consultants (e.g., solicitors, insurance agents) and obtain acknowledgments.
  • Maintain and update loan databases, including client info, loan changes, and compliance documents.
  • Ensure data integrity of mortgage records.
  • Review and set up insurance in PLM.
  • Process financial and non-financial transactions in PLM.
  • Send Welcome Letters to Borrowers within specified timelines.
  • Assist in file completion and document storage.
  • Complete EDMs post-funding, including setting notes and informing servicing teams.
  • Support financial processes such as payments, invoicing, and expense tracking.
  • Prepare manual wires for ad hoc payments.
  • Run credit reports and perform corporate searches.
  • Reconcile and pay invoices, processing them in PLM.
  • Deposit and post transactions, including cheques.
  • Assist with audit preparations and follow-ups.
  • Ensure quality standards in administrative documents and processes.
Records Management
  • Maintain the Executive Pipeline Report, update PLM & Salesforce.
  • Assist with reconciliation reports (AML, Good Faith, Suspense).
  • Create and manage Firmex projects and access.
  • Upload information to Firmex as needed.
  • Ensure quality control and reporting for EDM.
  • Complete assigned project tasks.
Qualifications
  • Experience in commercial mortgages preferred, especially with CMHC multi-residential loans.
  • Understanding of commercial mortgage terms and legal concepts is a plus.
  • Proficiency with Microsoft Office and system management.
  • Strong attention to detail, organization, and time management skills.
  • Excellent communication skills, both verbal and written.
  • Customer service oriented.
  • Ability to multitask under tight deadlines.
  • Self-motivated, able to work independently and as part of a team.
  • Post-secondary diploma or degree required.
